The Sales Administrator at EMCO Waterworks plays a crucial role in ensuring the seamless operation of the sales department while offering continuous assistance to all team members. This position is pivotal in addressing inquiries, generating and managing sales documentation, facilitating meetings, and supporting the sales team effectively.
Key Responsibilities:
- Ensure accurate and prompt invoicing for customer shipments on a daily basis.
- Assist in customer service by managing phone calls and responding to sales-related emails.
- Document all incoming quotations and assign them to the appropriate sales representatives.
- Create and log sales orders in the designated database.
- Organize and file packing slips, pick lists, and reconciled reports.
- Investigate and resolve customer inquiries promptly, exceeding their expectations.
- Collaborate directly with the Project Manager to maintain production records and track project hours.
- Provide necessary information to the web designer for website updates.
- Regularly prepare updates and manage posts on social media platforms.
- Maintain and update various Excel spreadsheets and Google documents.
- Reconcile daily transactions and prepare bank deposits as required.
- Adhere to all safety regulations at customer locations and within the company.
- Support all activities within the Profit Centre as part of the team.
- Carry out additional tasks as directed by the Profit Centre Manager.
Qualifications:
- Completion of Grade 12 or equivalent; post-secondary education is an asset.
- A minimum of one year of experience in customer service.
- Proficient in Microsoft Office applications, particularly Excel.
- Exceptional customer service and verbal communication skills.
- High attention to detail and accuracy.
- Strong relationship-building skills with customers, vendors, and colleagues.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Willingness to learn and utilize the relevant software systems for order processing.
