Job Overview

This role is essential in facilitating the daily operations of our office, with a primary focus on supporting the Account Management team and the clients we serve. The Administrative team at Leo Burnett exemplifies our organizational culture, embracing a balanced approach to work and enjoyment.

Key Responsibilities

  • Assist senior management with scheduling, travel arrangements, expense tracking, and coordinating meetings.
  • Provide on-demand support to the Senior Leadership Team, including document handling, package deliveries, and other administrative tasks.
  • Manage office duties such as arranging catering for meetings, maintaining kitchen supplies, and ensuring overall office cleanliness.
  • Oversee compliance documentation processes, including non-disclosure agreements and adherence to office policies.
  • Handle invoicing and procurement for catering, travel, and other office needs.
  • Engage in light vendor management and coordinate with building management and facilities resources.
  • Occasionally manage special projects, including client events, gift procurement, and business travel arrangements.
  • Uphold the confidentiality and integrity of all information processed.
  • Maintain organized and accurate filing systems.

Qualifications

  • A minimum of 3 years of administrative experience in a corporate environment, preferably within the Marketing and Advertising sector.
  • Proficient in Microsoft Word and Excel.
  • Strong interpersonal skills, capable of communicating effectively with diverse personalities across various departments.
  • Able to thrive in a fast-paced environment with tight deadlines.
  • Exceptional written and verbal communication abilities.
  • Strong time management skills.
  • Highly organized with the ability to multitask efficiently.
  • Demonstrated ability to deliver work promptly and accurately.
  • Self-driven and capable of performing well under pressure.
  • Meticulous attention to detail.
