About the Role

Paper Excellence is seeking a highly skilled Maintenance Planner to join our team. As a key member of our maintenance department, you will be responsible for ensuring the effective execution of all maintenance work control processes.

Key Responsibilities

  • Prioritize, plan, schedule, and follow-up on the accuracy of job plans for all planned (PM, Pdm, and corrective) work.
  • Manage work 2 weeks to 1 month in advance to optimize workforce productivity and minimize plant downtime.
  • Review work notifications for accuracy and clarity, ensuring clear scope of work, realistic completion dates, proper lead times, correct equipment identification, and proper authorization.
  • Identify work requiring engineering design and review with engineering.
  • Escalate issues to the Maintenance Superintendent for work that does not appear to be valid or costly.
  • Review work to be performed and determine the best way to accomplish the work, consulting with the Originator, Supervisors, Production Supervisors, and Stores as necessary.
  • Obtain and organize all information required for the crafts to perform the work, including drawings, vendor manuals, supplemental instructional materials, special procedures, and other file material.
  • Identify and secure all parts and material required to complete the work by providing stores with a Bill of Material for the work order and any special kitting instructions.
  • Approach all aspects of the work being performed with safety as the highest priority.
  • Provide job estimates based on craft or skills required, sequence required, and number required.
  • Determine and identify any vendor-delivered services for the work order.
  • Provide a total cost estimate for the work to be performed, including labor, material, and outside services.
  • Manage the status of work control and backlog for work order submission to work order completion, including waiting for planning, waiting parts, ready to schedule, scheduled, and other statuses.
  • Verify all material, information, tools, and labor are available prior to scheduling.
  • Work with other maintenance supervisors and planners to determine resource availability and work to level the workforce.
  • Develop a preliminary workforce schedule by crew, ensuring all skills requirements and resource availability are met.
  • Actively participate in scheduling meetings with operation partners to finalize priority of work orders, optimum downtime windows, and necessary lead times.
  • Finalize the maintenance resource schedule based on the agreed plan with production.
  • Follow up and communicate the schedule to all resources, including maintenance, production, outside services, stores, and engineering.
  • Issue scheduled work orders with job plan packages to supervisors.
  • Address any questions about the job plan packages.
  • Follow up with supervisors and leads to ensure completed work job packages are turned in with improvement comments in a timely fashion.
  • Update job packages as required for the files.
  • Manage a backlog of work orders that require major or significant portions of the facility to be shut down.
  • Continuously improve the job estimate, planning, and scheduling by receiving feedback from maintenance supervisors, maintenance leads, production supervisors, engineers, and operation coordinators.
  • Keep accurate metrics on the performance of planning and scheduling functions and provide timely reports to the Maintenance Superintendent.
  • Supervise and manage contractors while on site and occasionally fill in as a crew supervisor.

Accountability

Performance of the Planner in meeting identified responsibilities will be evaluated on the following measures:

  • Schedule compliance: Jobs worked and completed as scheduled.
  • Planning compliance: Accuracy of information, estimate of labor and material.
  • Reduction in emergency call hours to planned work hours.
  • Improvement in Mean Time Between Failures (MTBF).
  • Improvement in labor effectiveness.
  • Timely distribution of metrics and reports.

Qualifications

  • The Maintenance Planner will have a mechanical/electrical background, with an apprenticeship program or technical school background being desirable.
  • Has adequate craft knowledge and skill to accurately estimate labor hours, material requirements, and skills needed to complete a job.
  • Must have a demonstrated ability to visualize and communicate the execution of work.
  • Should have good written and verbal communication skills and have demonstrated the ability to be approachable and tactful.
  • Good math skills and computer skills.
  • Good organizational skills and demonstrated organizational and planning skills.
  • Demonstrated ability to write and provide simple and accurate instructions.
  • Demonstrated ability to read standard blueprints, machine & process drawings, and have the ability to sketch or redline existing drawings.
  • Knowledge and understanding of the maintenance processes and proper use of the work order system, planning, and scheduling, and storeroom processes.
  • Can manage multiple priorities or projects simultaneously and keep them progressing to completion.
