The Senior Group Air Coordinator is responsible for orchestrating air travel logistics for substantial incentive programs and corporate gatherings. Proficiency in Sabre is highly preferred.

Key Responsibilities:

  • Deliver exceptional customer service to all participants.
  • Adhere to established standard operating procedures for group travel.
  • Present preliminary air options to attendees for approval, ensuring no ticketing occurs without consent.
  • Confirm optimal flight itineraries based on event criteria, preferred schedules, and participant preferences.
  • Secure the best fares for group travel by leveraging applicable airfares, negotiated group blocks, and corporate discounts.
  • Maintain compliance with turnaround time expectations based on client volume and destination.
  • Manage and ticket group air blocks in accordance with airline regulations.
  • Oversee the overall air budget throughout the planning and financial reconciliation phases.
  • Ensure all attendee PNRs align with company policies and procedures.
  • Facilitate personal air travel extensions for attendees and manage split billing processes.
  • Invoice online transactions processed through corporate credit cards or participants in Sabre.
  • Utilize quality control measures for ticketing, exchanges, seat fees, or personal payment transactions.
  • Manage the electronic ticket distribution process via Sabre and TripCase.
  • Provide ongoing air travel expertise during operational meetings with program and registration managers.
  • Be available for on-call flight assistance during primary group travel dates.
  • Monitor flights and communicate any arrival or departure issues to on-site travel staff.

Working Conditions:

  • This is a hybrid role, requiring in-office work two days per week.
  • Involves extensive computer work, including email and phone communications.
  • Participation in business-related functions is expected.
  • Possible travel on-site with clients/groups, ranging from 1 to 10 days, which may involve long hours.
  • Extended periods of sitting may be required.

Qualifications:

  • Associate's degree or equivalent combination of education and experience.
  • A minimum of 4 years' experience in the meetings and incentives sector, specifically in coordinating group air travel.
  • Strong knowledge of GDS systems; prior experience with Sabre is preferred.
  • Valid TICO Certification is required.
  • Proficiency in Microsoft Office 365 Suite, particularly Outlook, Word, Excel, Teams, OneDrive, and SharePoint.
  • Familiarity with Cvent systems is advantageous, with the ability to learn proprietary systems.
  • Bilingual proficiency in English and French is essential.
