Your Role:
As a vital member of the Registrar & Student Services Office, the Academic Scheduling & Instructor Support Coordinator plays a crucial role in addressing the academic needs of our students and faculty. This position is responsible for overseeing all aspects of academic program scheduling, maintaining the Faculty instructor handbook, providing administrative assistance for petitions and appeals, and coordinating the annual production of the Faculty Academic Calendar.
Key Responsibilities:
- Gathering and organizing course and room requirements for effective scheduling.
- Resolving timetabling and room booking conflicts efficiently.
- Maintaining accurate course information within student information systems.
- Preparing and distributing examination schedules.
- Coordinating logistical arrangements for students facing exam conflicts.
- Serving as the primary contact for undergraduate and graduate instructors regarding their administrative needs.
- Staying informed about university programs, policies, and procedures.
- Collaborating with academic units and stakeholders to facilitate the production of the academic calendar.
Essential Qualifications:
- A Bachelor's Degree or a suitable combination of relevant experience.
- A minimum of two years of experience in an academic setting.
- Proficiency in academic course scheduling software such as CLASS, Fusion, and Infosilem.
- Experience in supporting faculty and working within a student service environment.
- A strong commitment to professionalism and exceptional customer service.
- Excellent verbal and written communication, interpersonal, and organizational skills.
- Ability to handle confidential matters with tact and discretion.
- Demonstrated decision-making capabilities in a dynamic environment.
- Strong computer skills, including proficiency in word processing, spreadsheets, database management, and website maintenance.
- Robust research and analytical skills, with the ability to interpret and apply information, regulations, and guidelines.
