Job Title: Office Administrative Assistant

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at GDL Carpentry Services Ltd.

Job Summary:

The successful candidate will provide administrative support to our team, ensuring the smooth operation of our office. This includes coordinating seminars, conferences, and other events, as well as maintaining accurate records and preparing minutes of meetings.

Key Responsibilities:
  • Coordinate the flow of information within the team and ensure timely communication.
  • Arrange and distribute mail, packages, and other materials.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Schedule and confirm appointments, meetings, and events.
  • Answer telephone calls, relay messages, and respond to inquiries.
  • Order office supplies, maintain inventory, and ensure a well-stocked office.
  • Arrange travel, itineraries, and make reservations as needed.
  • Greet visitors, direct them to contacts or service areas, and provide general assistance.
  • Type and proofread correspondence, forms, and other documents.
  • Develop and maintain relationships with indigenous communities, indigenous-owned businesses, and organizations.
  • Provide cultural competency training and awareness training to all employees.
  • Facilitate access to Elders who can offer support and guidance to Indigenous workers.
Requirements:
  • 1-2 years of experience in an administrative role.
  • Secondary (high) school graduation certificate.
  • Proficiency in MS Excel, MS PowerPoint, MS Windows, and MS Word.
  • Excellent communication, organizational, and time management skills.
  • Able to work independently and as part of a team.
  • Ability to maintain confidentiality and handle sensitive information.
Preferred Qualifications:
  • Experience working with diverse populations, including Indigenous peoples, newcomers, and refugees.
  • Knowledge of government programs and initiatives supporting diversity, equity, and inclusion.
  • Ability to speak multiple languages, including English and French.
