Event Planner Job Description

LUSO LUXURY LTD. is seeking a skilled Event Planner to join our team. As an Event Planner, you will be responsible for coordinating and executing events, conferences, and meetings from start to finish.

Key Responsibilities:
  • Promote conference and meeting services or special events to clients and stakeholders
  • Inspect and select sites for events, ensuring they meet our high standards
  • Develop marketing and communication plans to promote events and engage attendees
  • Develop media strategies and public relations activities to enhance event visibility
  • Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services
  • Arrange for production or purchase of promotional products, such as banners, flyers, and brochures
  • Assist in budget preparation and management to ensure events are delivered within budget
  • Assist in site selection and attend to related details, such as logistics and transportation
  • Co-ordinate and monitor conference and meeting activities, ensuring smooth execution and attendee satisfaction
  • Co-ordinate media services, including audio-visual equipment and technical support
  • Co-ordinate set-ups, staging, seating, parking, communication systems, and other details for special events
  • Confirm and co-ordinate speakers, presenters, and performers
  • Implement registration systems, including online registration and ticketing
  • Implement social programs, food and beverage, transportation, and other services to enhance the event experience
  • Set up and monitor, or arrange for the setting up and monitoring of multi-media equipment, such as sound and lighting systems
  • Plan and arrange for accommodation and transportation services for attendees and staff
  • Plan and arrange for trade shows and exhibits, including booth design and logistics
  • Plan schedules, goals, and objectives for events, ensuring they meet our high standards
  • Develop registration systems and information materials, such as event programs and agendas
  • Plan for required documentation and for pre- and post-distribution of documentation, such as itineraries and evaluations
  • Research and design special events programs, including theme development and concept creation
  • Plan for VIP arrangements, including special accommodations and services
  • Book facilities for office personnel and ensure they are equipped with necessary resources
  • Plan for social events and guest programs, including catering and entertainment
  • Develop policies and procedures and attend to other management responsibilities to ensure events are delivered to the highest standard
  • Manage Event Logistics, including coordination of vendors, suppliers, and contractors
  • Plan and oversee Webinars, including technical support and logistics
  • Develop and implement business plans to drive event revenue and growth
Requirements:
  • 1 year to less than 2 years of experience in event planning or a related field
  • Permanent position
  • English language proficiency
  • 32.5 hours per week
