Do you have a passion for administrative tasks and a keen eye for detail? We are seeking a full-time Warranty Administrator to enhance our operations. In this position, you will be responsible for preparing, submitting, and tracking warranty claims to various suppliers, ensuring exceptional customer satisfaction while optimizing company profits and fostering strong vendor and inter-departmental relationships. Additionally, you will review and finalize repair orders to guarantee accurate and timely invoicing.
Key Responsibilities
- Evaluate warranty repair orders to confirm complete and precise information.
- Collect or clarify necessary information from relevant parties as needed.
- Finalize warranty repair orders by generating invoices based on gathered data.
- Submit warranty claims and maintain warranty service records. Address any discrepancies between vendor payments and original requests or claim rejections. Investigate variances and determine if additional information or documentation can enhance claim reimbursement. Resubmit claims when it is beneficial for the business.
- For warranty claims that transition into policy claims, download the 'goodwill' form, submit it online or via fax, and monitor for potential payment responses.
- Provide warranty parameter information to front counter staff upon request.
- Notify Service Coordinators when warranty work affects customer service or payment.
- Address customer inquiries or concerns regarding warranty matters.
- Complete repair orders and invoices within the designated timeframe to prevent losses due to late filing.
Required Qualifications
- Minimum of 3 years of experience in the heavy-duty truck or trailer industry or a related field.
- Experience with invoicing and a solid understanding of debits and credits.
- Familiarity with standard repair times and management of repair orders is preferred.
- General knowledge of warranty guidelines and the approval process is an asset.
- Understanding of International (Navistar) warranty processes is advantageous.
- A collaborative team player with a strong commitment to customer service.
- Effective communication skills across all levels of the organization.
- Highly organized, capable of setting priorities and meeting deadlines.
- Excellent analytical and fact-finding abilities.
- Strong numerical aptitude with attention to detail and accuracy.
- Proficient in MS Word/Excel, email, internet navigation, and data entry.
- Experience with centralized computer billing systems; knowledge of Karmak is preferred.
