Overview
The Facilities Maintenance and Repair Project Coordinator plays a crucial role in assisting the Distribution and Depot teams with the upkeep and repair of facilities, overseeing capital initiatives, and managing relocations. This position involves close collaboration with various teams to establish and monitor project timelines, risk assessments, and action plans. Frequent travel (up to 75% of the time) is necessary to supervise on-site activities. You will be responsible for presenting capital investment proposals to the Capex Steering Committee for approval. Effective management of project budgets and costs is essential, along with regular communication of project status updates. Additionally, you will contribute to the formulation of long-term maintenance and repair strategies for facilities, aiding local leaders in budget planning to meet future needs. Ensuring compliance with our Food Safety and Quality (FSQ) program structural standards is a key responsibility.

Key Responsibilities
You will be accountable for supporting the Distribution and Depot operational leaders on various projects, including but not limited to:
Preventive Maintenance
- Identify and engage national and local vendors for routine maintenance tasks at each facility
- Plan and schedule preventive maintenance activities
- Review recommendations, devise plans to address maintenance needs, and maintain thorough documentation
Building Maintenance & Repair
- Coordinate urgent repairs at facilities, assigning tasks as necessary
- Assess and prioritize repairs based on urgency and potential impact on consumer experience in line with our FSQ program
- Ensure contractors complete tasks promptly and in the correct order of priority
Capital Investment Management
- Define project scope and objectives
- Obtain necessary quotations
- Present proposals to senior management for evaluation and approval
- Oversee project execution and coordination
Facility Relocation and Upgrades
- Assist in evaluating new facility options
- Develop action plans and project budgets
- Communicate effectively with cross-functional teams regarding project timelines and responsibilities
Vendor Management
- Collaborate with procurement to identify vendors that meet specific business requirements
- Facilitate onboarding of new vendors and their integration into SAP
- Maintain an updated vendor contact list
- Evaluate vendor performance based on cost, quality, and timeliness
- Process invoices and monitor expenses for reporting purposes
Support project planning by developing scope documents, templates, and risk management logs. Provide regular updates to management on key milestones and potential risks. Identify and create preliminary strategies to mitigate risks associated with potential challenges. Conduct analyses and assessments for assigned projects and programs, utilizing data to pinpoint areas for improvement and corrective measures.
Qualifications
- Post-secondary education in Business or a related field
- Minimum of 3 years of relevant project management experience in a distribution and warehousing context is preferred
- Exceptional time management skills with the ability to handle multiple tasks simultaneously
- Willingness to travel up to 75% of the time to various locations
- Strong organizational, problem-solving, and analytical abilities
- Basic understanding of financial reporting
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
