Key Responsibilities:- Contract Administration: Manage and maintain accurate records of service contracts, ensuring timely execution and compliance.
- Service Contract Entry: Enter and update service contract information in our system, ensuring accuracy and completeness.
- Equipment Entry: Manage and maintain accurate records of equipment, including entry and updating of equipment information.
- Equipment Tasking Assignment: Assign tasks to equipment, ensuring efficient and effective use of resources.
- Identification, Review, and Resolution of Contract Execution Issues: Collaborate with account managers to identify and resolve contract execution issues.
- Dispatch Support: Provide support with dispatching services as needed.
- Support Account Managers and Service Coordinators: Assist account managers and service coordinators with updating and executing service contracts.
- Admin Support for Trade Divisions: Provide administrative support for trade divisions, including technician onboarding paperwork and uniform ordering.
- Accounting Support: Provide accounting support as needed.
- Organizing and Creation of Office Procedures: Develop and maintain office procedures to ensure efficient and effective operations.
- Organizing, Coordination, and Support of Service Department Functions and Events: Coordinate and support service department functions and events.
- Development and Support of Air Filter Ordering Procedures: Develop and maintain air filter ordering procedures.
- Establish and Maintain Customer and Vendor Lists: Maintain accurate records of customer and vendor information.
- Office Administration: Manage office supplies, coordinate office services, and ensure a clean and organized workspace.
- Support the Department: Provide support to the department through coordination of materials, information, and communication.
- Communication with Head of Department: Communicate with the head of department and provide ongoing support.
- Working with Managers: Collaborate with managers to prepare sales proposals and manage company sales information.
- Act as a Point of Contact: Serve as a point of contact for the group, providing administrative support and liaison services.
- Ensure Efficient and Timely Workflow: Ensure efficient and timely workflow of information into and out of the department.
- Work Collaboratively: Work collaboratively with team members to improve processes and streamline work.
- Circulating Office Memos and Information Postings: Circulate office memos and information postings.
- Support Staff with Travel Arrangements: Assist staff with travel arrangements, expense reports, and complex meeting arrangements.
- Clerical Duties: Perform clerical duties, including filing, data entry, record review, and maintenance.
- Post-Secondary Education: Post-secondary education in a related field, such as office management or administration.
- Progressive Administrative Experience: Progressive, relevant administrative support experience.
- Experience in the Construction Industry: Experience in the construction or related industry an asset.
- Excellent Computer Skills: Excellent computer skills, particularly with MS Office.
- Strong Written and Verbal Communication Skills: Strong written and verbal English communication skills.
- Ability to Work Well Under Pressure: Ability to work well under pressure with a positive attitude.
- Ability to Work Effectively in a Fast-Paced Environment: Ability to work effectively in a fast-paced, customer and team-oriented environment.
