Our mission is to deliver accessible, relevant, and skills-based education for individuals at any stage of their career journey.
Position Overview: The Administrative Assistant plays a pivotal role in supporting the Education Director and serves as the primary point of contact for both prospective and current students, as well as the general public. This position requires a comprehensive understanding of MITT's programs, services, and policies, alongside adherence to privacy legislation and effective communication with students.
Key Responsibilities:
- Provide exceptional front-desk customer service, welcoming guests and directing them appropriately.
- Facilitate referrals to various programs within the institution.
- Schedule appointments for program intake and student support as necessary.
- Manage office supplies procurement and ensure proper financial approvals.
- Handle incoming and outgoing mail with accuracy.
- Perform routine office management tasks to maintain an organized and efficient workspace.
- Ensure office equipment is operational and coordinate repairs as needed.
- Support team members with various projects and initiatives.
- Assist in mentoring practicum students.
- Maintain confidentiality while managing sensitive information and administrative records.
- Conduct data entry for student records and statistical reports.
- Undertake additional duties as assigned.
Qualifications:
- Post-secondary certificate in business administration or a related field, or equivalent experience.
- Minimum of two years of experience in an administrative or customer service role.
- Excellent communication and interpersonal skills, fostering positive relationships with colleagues and clients.
- Strong attention to detail and organizational abilities.
- Proficient in customer service and conflict resolution.
- Ability to work independently and collaboratively within a team.
- Competent in performing diverse clerical and administrative tasks efficiently.
- Strong writing skills with a focus on producing accurate documents.
- Ability to manage multiple tasks and meet deadlines in a dynamic environment.
- Proficient in Microsoft Office Suite and experienced with online meeting platforms.
- Typing speed of 40 words per minute.
Preferred Experience:
- Experience in administrative support within a post-secondary or adult education setting.
Employment Conditions:
- Legally authorized to work in Canada.
- Successful completion of a Criminal Record check, including vulnerable sector and Child Abuse Registry Check.
An eligibility list may be established for similar positions, and developmental opportunities may be available for candidates who do not meet all qualifications.
