POSITION INFORMATION:Full-Time Support Staff Position Opportunity
Department: Enrollment Services
Hours: 35 hours per week (1 hour lunch); Monday – Friday (8:30 am – 4:30 pm)
Reporting To: Manager, Enrollment & Client Services
Campus Location: Oshawa, Whitby
The role of the Enrollment Services Representative (ESR) serves as the initial point of contact for various client groups through multiple service channels: in-person, phone, email, and LiveChat. The ESR facilitates student needs by assessing and determining the appropriate course of action for clients.
Responsibilities include:
- Handling inquiries, processing registrations, managing payments, updating student records, and verifying enrollment and academic records.
- Distributing documents requiring validation and managing various forms and associated paperwork. Once completed, the ESR will scan and index documents for the permanent student record.
- Administering, interpreting, and communicating college policies and procedures effectively.
- Assisting the Office of the Registrar during non-peak periods with admissions or event mailings, and performing various office tasks as assigned.
- Maintaining knowledge of service metrics across departments and utilizing the Electronic Queue Management system (Qnomy) to ensure high levels of customer service.
- Facilitating student access to self-service applications as needed and tracking resource usage.
- Participating in Registrar Office events, including Convocation and Open House activities, and contributing to knowledge-sharing opportunities.
- A minimum of a two-year diploma in Business Administration, Communications & Marketing, or Social Services.
- A minimum of three years of practical experience in a high-volume customer service environment.
- Experience in an educational setting using a computerized student information system is preferred.
- Proficiency in Banner and MS Office Suite, including Word and Excel.
- Able to thrive under pressure in a busy environment with frequent interruptions.
- Demonstrated excellence in customer service with a commitment to high-quality service delivery.
- Adaptability, flexibility, and innovative problem-solving skills are essential.
- Strong organizational and time management abilities in task planning and execution.
- Self-motivated with excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
