The Robert Gillespie Academic Skills Centre (RGASC) plays a pivotal role in enhancing students' academic capabilities through a variety of courses, workshops, and consultations, working in collaboration with faculty, staff, and students.
Your Role:
The Program Administrator is responsible for providing comprehensive administrative support for both student and instructor programming. This includes managing scheduling, coordinating room bookings, and monitoring enrollment metrics.
Key Responsibilities:
- Addressing inquiries within the defined scope of the role and appropriately redirecting them.
- Organizing logistical details and activities for events and programming.
- Tracking enrollment numbers and reporting them to management.
- Coordinating the preparation and distribution of program and course materials.
- Disseminating information regarding programs.
- Providing detailed guidance on eligibility criteria, procedures, and deadlines.
- Implementing effective practices and processes to support program delivery.
- Maintaining up-to-date information on the relevant website.
Essential Qualifications:
- A Bachelor's Degree or an equivalent combination of education and experience.
- A minimum of two years of relevant administrative experience, ideally within a post-secondary educational context.
- Experience in delivering front-line client services, particularly in a student-focused environment.
- Proven ability to coordinate programs, workshops, schedules, and room bookings.
- Advanced proficiency in MS Office Suite, file management systems (e.g., SharePoint), learning management systems (e.g., Quercus), and virtual meeting platforms (e.g., Zoom).
- Strong interpersonal skills, demonstrating sound judgment in interactions with faculty, staff, and students.
- Ability to thrive in a collaborative environment that demands multitasking, managing competing priorities, and adaptability.
- Excellent judgment and discretion regarding confidential matters.
- Experience in coordinating and working with large groups of work-study or casual staff.
Preferred Qualifications:
- Experience in coordinating co-curricular programs.
- Background in peer mentoring or supplementary instruction initiatives.
- Familiarity with content management systems (e.g., Drupal).
