Job Summary

The Roman Catholic Archdiocese of Vancouver seeks a highly skilled and experienced Administrative Assistant to support the Chief Financial Officer in various administrative and financial duties.

Key Responsibilities
  • Administrative Support:
    • Manage the CFO's correspondence and calendar.
    • Screen, handle, and respond to enquiries and correspondence for the CFO.
    • Prepare meeting materials for the Archdiocesan Finance Council and take meeting minutes for key meetings chaired by the CFO.
    • Handle the mail for the Finance Office.
    • Prepare all cheque deposits and perform banking duties as required.
    • Prepare and send accounts receivable invoices.
    • Manage the property database ensuring its completeness and accuracy.
    • Ensure all property bills are sent to parishes, schools, and agencies on a timely basis for payment.
    • Monitor select service email accounts used by the Finance Office.
    • Organize the documents and filing for the Finance Office ensuring records are retained in conformity with regulations.
  • Finance Coordinator Duties:
    • Support parishes with daycare/pre-school program funding and associated reporting.
    • Support parishes with User Group Liability Insurance.
    • Support the auto fleet insurance of the Archdiocese.
    • Coordinate insurance coverage for parishes and act as liaison for parishes, agencies, and insurance broker/underwriter.
    • Coordinate all property-related documentation (contracts and agreements).
    • Oversee assessments, property tax, and utility correspondence with parishes and third parties.
Requirements
  • A minimum of three years of experience in a highly professional office environment along with basic education in accounting and finance.
  • Proficiency with MS Office Suite, particularly Outlook, Word, and Excel.
  • A high level of initiative, judgment, and discretion when dealing with confidential matters and a customer-service culture.
  • An excellent command of the English language, including writing, editing, and proof-reading skills.
  • Experience working with computerized accounting software is an asset.
  • This is a full-time in-office position, Monday to Friday, with core working hours of 9:00 am to 4:30 pm. Occasional evenings and weekend work may be required.
