- Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
- Office Procedures: Determine and establish office procedures and routines to optimize efficiency and productivity.
- Scheduling: Schedule and confirm appointments, meetings, and events to ensure timely and effective communication.
- Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and courteous manner.
- Data Management: Compile data, statistics, and other information to support business decision-making.
- Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized office environment.
- Travel Arrangements: Arrange travel, related itineraries, and make reservations to support business travel needs.
- Reception: Greet people, direct them to contacts or service areas, and provide general assistance to visitors.
- Document Management: Set up and maintain manual and computerized information filing systems to ensure accurate and efficient document management.
- Correspondence: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
- Transportation: Own transportation is required for this role.
- Work Conditions: The successful candidate will be required to work in a fast-paced office environment with attention to detail and ability to perform repetitive tasks.
- Personal Suitability: Excellent oral and written communication skills, flexibility, organization, teamwork, accuracy, client focus, and reliability are essential for this role.
- Work Term: This is a permanent full-time position.
- Work Language: English is the primary language of communication for this role.
- Hours: The successful candidate will be required to work 40 hours per week.
