XTL is seeking a bilingual Driver Manager to support our operations in Vaudreuil-Dorion

Summary:

  • The Driver Manager is the primary point of contact for all drivers, responsible for maintaining good labor relations and resolving conflicts or concerns.
  • Monitor productivity and identify areas for improvement to enhance fleet effectiveness and driver success.
  • Involved in the selection process for new drivers and provide guidance on operational components necessary for success at XTL.
  • Responsible for driver performance, retention, and communication of areas for improvement.

Responsibilities:

Team Management
  • Conduct final discussions with qualified candidates to ensure expectations and fit for success at XTL.
  • Manage a group of drivers to support operational objectives.
  • Motivate drivers and owner-operators to perform effectively and achieve company objectives.
  • Provide constructive feedback.
Driver Orientation
  • Ensure new hires are equipped with necessary knowledge and resources for a successful career at XTL.
  • Provide formal orientation on day-to-day operations and company policies and procedures.
  • Coordinate with counter terminals to ensure accurate and consistent information.
  • Assess level of need and suitability in conjunction with assigning a mentor.
Driver Evaluation & Performance
  • Document contract of mutual expectation.
  • Monitor periodic evaluation of drivers and owner-operators' achievement of objectives.
  • Conduct 30/60/90/365-day reviews, capture and communicate issues of concern and successes.
  • Investigate, interview, coach, and educate drivers when service failures arise.
Driver Retention
  • Handle inquiries, concerns, or complaints from drivers and owner-operators.
  • Promote an open-door policy.
  • Create a close relationship with drivers and agencies.
  • Participate in driver meetings with operations and safety.
  • Responsible for the recognition program in concert with operations.
  • Perform exit interviews to determine underlying concerns and root cause for termination.
Productivity
  • Monitor productivity in relation to expectations for both drivers and company.
  • Identify opportunities for improvement.
  • Prepare reports for weekly meetings with managers from Operations and HR.
  • Participate daily in the morning conference to highlight bottlenecks and wasting time issues.
  • Work closely with Operations and Customer Service managers to align power with Volume and Service objectives.
  • Issue discipline in accordance with department policy and in collaboration with Operations Managers and Human Resources Department.
  • Coach drivers with poor MPG according to established driving criteria.
  • Follow up with drivers for improvements.
Respect of policies, programs, procedures and practices
  • Apply dispatch rules according to the collective agreement and company programs, procedures, policies, bid regulations, DOT & HOS legislation.
  • Report any disciplinary issues and course of action taken to the Operations Manager.
  • Monitor performance and fill in service failures.
  • Approve all trip sheets for city drivers.
  • Approve pay for all other drivers working locally.
  • Responsible for on-time performance at pickup and delivery locations.
  • Monitor cost (e.g., O/T).
Daily Tasks
  • Maintain a weekly mileage of a minimum of 2360 miles per truck per week.
  • Reduce Cartage/City Costs by having Highway Drivers PU & Deliver their own loads.
  • Monitor and Process Satellite Messages in AS400 and ensure up-to-date information within 5 minutes.
  • Track and Trace drivers for on-time service.
  • Monitor Road & Weather Conditions, keeping Drivers & Driver Managers Informed.
  • Audit Driver Travel & Trip Plans to maximize hours & miles.
  • Manage and answer the Office Phones in a Timely Fashion and deal with any issues that arise from the phone calls.
  • Assist with support with other Dispatch functions with other staff members.
  • Provide Support to Drivers with Custom PPWK or Border Issues.
  • Communicate all delays to Customer Service. Notify Customer Service of any OS&D.
  • Review night notes, address any issues pertaining to your Fleet(s) or Responsibilities.
  • Ensure drivers have Relays (destination changes) when drivers cannot deliver the load they are hauling direct to Consignees.
  • Work with all Drivers & Customer Service to Report all detention charges at Customers, Borders, etc. Monitor Customer unloading times & prompt Customer Service regularly to avoid additional charges.
  • Answer questions from Payroll about driver delays.
  • Review Drivers hours for past week to ensure hours are being used correctly & paid correctly.
  • ETA/PTA updated at all time. Provide feedback to Driver schedules/Bids/Vacations.
  • Communicate work shortages and needs to Customer Service/Management.
  • Provide weekly Excel Driver Departures list for the next week each Thursday before Noon.
  • Provide Shift Report nightly of any issues that the Night Staff will have to deal with.
  • Fill out Initial Incident Reports/Notify Management of any accidents involving 3rd party, injuries or property damages.
  • Coach Drivers on Satellite Errors so they understand where they went wrong and how they can be fixed to not cause future errors.
  • Notify Management of Drivers not performing Macro's correctly.
  • Ensure Drivers have Deadheads after delivering loads to Consignees in the city and all loads are planned and confirmed with the drivers and all Pre-Plans are sent to drivers at all times.
  • Ensure driver's customs paperwork is cleared prior to entry.
  • Ensure driver has been planned on next load prior to arriving at his destination.
  • Communicate Work Shortages & staffing needs to HR and Management.
