Job Summary

Vancouver Coastal Health is seeking a highly skilled Property and Asset Management Coordinator to join their team at Qathet General Hospital in Powell River, BC. As a key member of the Property Management team, you will be responsible for implementing, maintaining, and providing property management due diligence to ensure optimal use and function of leased and owned assets.

Key Responsibilities

  • Work closely with the Manager to implement, maintain, and provide property management due diligence, including financial, administrative, and operational support.
  • Assist the Manager with landlords and vendor relationships to ensure that facilities are maintained and managed as per agreed contract and/or service agreements.
  • Monitor and track expenditures for minor client requests, including identifying trends, and advise the Manager accordingly.
  • Perform reviews of operating and maintenance costs in accordance with lease requirements and work with landlords to confirm operating and maintenance costs.
  • Assist the Manager with property management issues by conveying policies and priorities, obtaining quotes, and coordinating work to ensure issues are resolved or forwarded to the appropriate area or individual.
  • Responsible for ensuring the accuracy of the asset database program for the organization, including the input of leases, contracts, contact information, landlord, and tenant responsibility information.
  • Manage tenant-related information through various checklists, forms, and reports, including but not limited to estoppel certificates, monthly rent roll, and lease abstract approvals.
  • Assist with producing related reports, correspondence, presentation materials, spreadsheets, and memos using a variety of software applications.
  • Communicate policies and information to key contacts, such as clients, external consultants, property management providers, and vendors, in a manner that promotes positive and respectful relationships.
  • Carry out responsibilities in accordance with health and safety requirements and immediately report unsafe situations to the supervisor or other appropriate personnel.

Qualifications

To be successful in this role, you will require:

  • A diploma in Business Administration or a related discipline, supplemented with three to five years of recent, related experience in healthcare project planning, real estate, and/or leasing management, or an equivalent combination of education, training, and experience.
  • Demonstrated ability to provide technical expertise to support clients.
  • Demonstrated ability to identify issues and analyze alternatives to provide decision support.
  • Demonstrated ability to provide needs analysis and support to internal users and consultants.
  • Demonstrated ability to provide insight and analysis.
  • Demonstrated ability to work effectively in a dynamic environment with changing priorities.
  • Demonstrated ability to resolve issues in a timely manner.
  • Demonstrated ability to work independently and as a member of a team, including large engagements.
  • Demonstrated ability to develop and maintain rapport with internal and external stakeholders.
  • Demonstrated ability to operate related equipment, including applicable software applications.
  • Physical ability to perform the duties of the position.
