Position Overview

Reporting to the Data Entry & Invoicing Manager, the Order Processing Specialist is tasked with ensuring the precision and reliability of orders within the Navision database through meticulous order entry and invoicing of all products.

Work Environment

This is an onsite, entry-level position.

Key Responsibilities

  • Generate and invoice all ITE (In the Ear), BTE (Behind the Ear) hearing aid repair, remake, and service orders.
  • Input sales orders into the ERP system accurately.
  • Engage regularly with Production, Client Services, Audiology, and Accounting via telephone or email regarding order inquiries.
  • Maintain precise documentation for ITE, BTE, Accessories, Ear Molds, and consignment aids.
  • Utilize the ERP system to generate invoices for ITE, BTE hearing aids, Ear Molds, and accessories.
  • Monitor and process all orders received through Email, Deskpro, and Web orders.
  • Update service cards with any modifications as necessary.
  • Ensure accurate documentation, filing, and organization of essential paperwork.
  • Guarantee that all entries are correctly recorded in the Navision databases.
  • Assist colleagues as needed to adapt to changes in workload, workflow, and staffing levels.
  • Perform additional tasks as directed by the Manager.
  • Adhere to all Company and Departmental standards, policies, and procedures regarding turnaround time, quality, and customer service.
  • Comply with all Human Resources policies and procedures.
  • Conduct basic maintenance on equipment as required.

Qualifications

  • A high school diploma or equivalent is mandatory.
  • At least 2 years of experience in data entry/invoicing is preferred.
  • Excellent typing skills are essential (minimum of 40 WPM).
  • Detail-oriented with a strong background in record-keeping and maintaining organized documentation and filing systems.
  • Proficient in Microsoft Office applications (word processing and spreadsheet software).
  • Familiarity with Windows operating systems is required.
