CB Canada is seeking a detail-oriented and organized Document Clerk to join our team. In this role, you will play a vital part in ensuring the smooth operation of our document management system.

As a Document Clerk, your primary responsibilities will involve processing incoming and outgoing mail, scanning documents, indexing files, and maintaining accurate records. You will work closely with various departments to ensure timely and efficient document handling.

Responsibilities:
  • Mail Processing (30%): Open, sort, and prepare mail for scanning. Verify scanned images for clarity and rescan as needed. Store documents in designated boxes for onward shipment. Maintain records of scanned batches and document movement.
  • Document Indexing (20%): Accurately index scanned documents using appropriate categories and subcategories. Prioritize indexing tasks based on workload demands. Ensure high-quality document preparation before indexing.
  • Claims Processing (5%): Collect claims cheques from Corporate Accounting and distribute them to relevant parties.
  • Printing and Data Management (10%): Print claim files as requested by adjusters, prioritize urgent requests. Access Tritech FTP site, download data, write barcodes, print, and insert policies. Maintain a list of printed but unmailed policies.
  • E-Mitchell, CGI, and Fax Processing (5%): Download CAA data from E-Mitchell and CGI websites and index it to the appropriate claim/policy. Index incoming faxes to claim and policy files. Process emails and legal invoices for claims and policy files.
  • Internal and Outgoing Mail (25%): Distribute mail within the building. Process registered letters from various departments and maintain a record.
  • Document Retrieval (5%): Retrieve original documents as requested by adjusters.
  • Scanner Maintenance (5%): Ensure proper functioning of scanners and report any issues.

This role requires strong attention to detail, organizational skills, and the ability to work independently and as part of a team. Proficiency in Microsoft Office Suite is essential.
