The Opportunity

The Banff Centre for Arts and Creativity is seeking a highly organized and detail-oriented Program Coordinator to support the Banff International String Quartet Competition and Festival. As a key member of the team, you will be responsible for coordinating all administrative and logistical aspects of the festival, tour, and competition.

Key Responsibilities

  • Coordinate email and contact management, including monitoring the general email account and assisting with contact and event management using tools such as Smartsheets and SharePoint.
  • Arrange and document meetings for internal and external parties.
  • Handle financial processing, including billing, invoicing, purchase orders, and expense claims, in accordance with Banff Centre guidelines.
  • Manage communications with ticket buyers, guests, and participants, and arrange travel, accommodation, and special requirements for various individuals involved in events.
  • Coordinate with various stakeholders to ensure documentation and logistical details are handled properly.
  • Prepare and format program details, manage music loans, and proof content for various media needs.
  • Assist in creating newsletters, house programs, and other print materials, and work with the Marketing and Communications team for event promotion and sponsor recognition.
  • Collaborate with different departments to ensure smooth event operations and handle post-event tasks, including reports and acknowledgments.

Qualifications and Educational Requirements

  • Diploma in Events Management, Art Administration, or a related field.
  • Experience in the planning and delivery of large-scale special events.
  • Excellent oral and written communication and teamwork skills to interact with directors, technical staff, and participants.
  • Flexibility, ability to multi-task, and make prompt decisions.
  • Tact in dealing with directors, faculty, special guests, jurors, and artists working under pressure.
  • Ability to remain calm under stress and meet strict deadlines.
  • Excellent organizational and administrative skills.
  • Ability to take initiative and work independently or as part of a team.
  • Proficient with Microsoft Office Suite, including advanced Excel skills, scheduling software, and database skills.
  • Any formal classical or chamber music background is strongly considered an asset.

Special Requirements

  • This position may require the candidate to be on-site during competition week as needed.

Employment Terms & Benefits

  • This is a term position from November 18, 2024 to September 30, 2025.
  • In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500-hour probationary period.
  • This position pays between $27.11 and $28.46 per hour, working up to 40 hours per week on a regular schedule.
