We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at NKD WAX AND LASER CLINIC. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our office.
Key Responsibilities:- Coordinate and Manage Office Operations: Coordinate the flow of information within the team, direct and control daily operations, evaluate daily operations, and motivate staff.
- Administrative Support: Open and distribute mail and other materials, plan and organize daily operations, train staff, establish and implement policies and procedures, and train other workers.
- Communication and Customer Service: Record and prepare minutes of meetings, seminars, and conferences, determine and establish office procedures and routines, schedule and confirm appointments, and answer telephone and relay telephone calls and messages.
- Data Management and Analysis: Oversee the analysis of employee data and information, answer electronic enquiries, and oversee development of communication strategies.
- Inventory and Supplies: Order office supplies and maintain inventory.
- Team Collaboration: Liaise with management, union officials, and HR consultants, organize staff consultation and grievance procedures, and arrange travel, related itineraries, and make reservations.
- Customer Interaction: Greet people and direct them to contacts or service areas, provide customer service, and work with the marketing department to understand and communicate marketing messages to the field.
- Administrative Tasks: Perform data entry, type and proofread correspondence, forms, and other documents, and maintain and manage digital database.
- Performance Evaluation: Conduct performance reviews and evaluate work environments, programs, and procedures to control, eliminate, and prevent disease or injury.
- Supervision: Supervise office and volunteer staff.
- Education: Secondary (high) school graduation certificate.
- Experience: 1 year to less than 2 years.
- Work Conditions and Physical Capabilities: Ability to work independently, fast-paced environment, work under pressure, attention to detail, repetitive tasks, and large workload.
- Personal Suitability: Ability to multitask, excellent oral communication, excellent written communication, flexibility, team player, accurate, client focus, reliability, time management, accountability, dependability, due diligence, and quick learner.
