About the Position:

We are seeking a highly skilled and detail-oriented Front Desk Coordinator to join our team at Victoria Park Medispa in Ottawa.

Key Responsibilities:
  • Greeting Clients: Provide exceptional customer service to clients on the phone and in-person, ensuring a positive experience that meets Victoria Park standards.
  • Treatment Booking and Guidance: Book and guide clients through inquiries surrounding various medical esthetics treatments, ensuring accurate information and a seamless experience.
  • Patient Visits and Checkouts: Handle patient visits, checkouts, and re-bookings efficiently and effectively.
  • Medical Invoicing and Billing: Process medical invoices and billing accurately and in a timely manner.
  • Administrative Support: Provide administrative support to physicians and operations manager, including special projects and ensuring physicians and technicians schedules are optimized.
  • Directing Requests: Direct requests appropriately, providing accurate information and ensuring a high level of customer satisfaction.
Required Qualifications:
  • Experience: Two to three years of experience working in a clinic or hospital setting as an Administrative Assistant, Medical Coordinator, or Executive Assistant.
  • Education: A Bachelor's degree or college diploma is considered an asset.
  • Sales and Relationship-Building: Possess sales ability combined with the capacity to build relationships over the phone and in-person.
  • Attention to Detail: Strong attention to detail and critical thinking skills.
  • Communication and Organization: Superior communication skills, outstanding organizational skills, and judgment.
  • Customer Support: Ability to provide excellent customer support and follow up to patients.
  • Computer Literacy: Strong computer literacy and administration skills.
  • Aesthetics and Wellness: A background in aesthetics and wellness is considered a strong asset.
