Position Overview
Our Ottawa office is seeking a Legal Administrative Assistant to join our Intellectual Property group, focusing on Patent Prosecution. The successful candidate will undertake comprehensive legal administrative tasks of a responsible and confidential nature for one or more professionals.

Key Responsibilities
The role involves:

  • Staying informed about Canadian Intellectual Property Office procedures and requirements, exercising sound judgment to seek guidance when necessary.
  • Accurately preparing legal documents and correspondence with minimal supervision.
  • Transcribing and typing legal documents and correspondence.
  • Liaising between legal professionals and various internal and external stakeholders, including clients at all levels.
  • Managing and reconciling petty cash and other administrative expenses.
  • Preparing invoices and assisting in collections and electronic billing.
  • Using initiative and sound judgment to relieve professionals of administrative tasks.

Qualifications
The ideal candidate will possess:

  • A diploma in Administrative Assistance or Legal Administrative Assistance, or relevant post-secondary education.
  • A minimum of 5 years' experience as a Legal Administrative Assistant, preferably within the Intellectual Property sector with a focus on Patents.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Excellent organizational and administrative skills.
  • Meticulous attention to detail and strong proofreading abilities.
