The Academic Program Assistant will provide administrative support to the Department of Ocean Sciences' Undergraduate and Graduate programs. This role will involve proactive administrative work, including supporting the admissions process, liaising with the School of Graduate Studies staff, and preparing and processing Graduate student payroll forms.
Key Responsibilities- Support the admissions process, including processing graduate student applications
- Liaise with the School of Graduate Studies staff regarding regulations, procedures, and enquiries
- Prepare and process Graduate student payroll forms
- Maintain necessary files for records
- Manage Graduate student thesis submissions, comprehensive exams, and other related work
- Complete support work around Graduate scholarships
- Draft routine correspondence and typing/formatting reports and documents
- Schedule meetings related to Undergraduate and Graduate committees
- Provide support to Deputy Heads as needed
- Update the departmental website
- Coordinate the departmental taxi service for students, including tracking ridership and placing taxi orders
- Experience (2-3 years) supporting academic program activities
- Completion of a 2-year community college program in office or business administration, or 1 year of University level courses towards an undergraduate degree
- Excellent working knowledge of Microsoft Office (with particular emphasis on Word, Excel, and Outlook)
- Strong interpersonal, organizational, and communication skills
- Experience with Banner Student, Banner Finance, OnBase, Brightspace, or similar programs is considered an asset
