Position Summary

We are in search of a meticulous and proactive bilingual Payroll Specialist to enhance our finance department in Montreal, ensuring the precision and punctuality of payroll operations.

The Payroll Specialist will oversee the payroll management for all personnel, guaranteeing adherence to organizational protocols and North American legislation. This position demands a robust comprehension of payroll systems, exceptional organizational capabilities, and the capacity to manage confidential information with the utmost integrity.

Reporting Structure

Reports to: Financial Controller

Collaborates with: HR, Employees

Key Responsibilities

  1. Execute bi-weekly payroll processing for all employees in Canada and the US, encompassing salaried, hourly, and contractor payments.
  2. Gather and monitor timesheets, auditing for inconsistencies and logging errors.
  3. Remain informed about payroll regulations, ensuring compliance with labor laws, tax requirements, and company policies.
  4. Maintain and revise employee payroll records, including modifications in compensation, benefits, and other remuneration details.
  5. Prepare and file payroll tax submissions, including quarterly and annual reports, while managing withholdings and ensuring accurate governmental tax payments.
  6. Facilitate benefits enrollment and deductions, covering health insurance, retirement plans, and other employee perks.
  7. Conduct regular reconciliations of payroll accounts and insurance invoices, addressing any discrepancies. Generate and assess payroll reports for accuracy and completeness.
  8. Address employee inquiries regarding payroll, benefits, and deductions, providing clear and timely support to resolve payroll-related issues.
  9. Maintain and enhance payroll software and systems, collaborating with HR and system representatives to ensure operational integrity and efficiency.

Qualifications

  1. A minimum of 5 years of experience in payroll processing or a related field. Familiarity with ADP Workforce Now is advantageous.
  2. In-depth knowledge of payroll procedures, tax legislation, and employment regulations.
  3. Proficient in Microsoft Office Suite, particularly Excel.
  4. Exceptional attention to detail and accuracy.
  5. Strong organizational and time management abilities.
  6. Effective communication and problem-solving skills.
  7. Capability to handle confidential information with discretion.
  8. Familiarity with ERP systems.
  9. Experience in project-based industries is a plus.
  10. Able to thrive in a dynamic, multi-project production environment.
  11. Ability to collaborate effectively with diverse team members.
  12. CPP (Certified Payroll Professional) or equivalent certification is preferred.
