Overview

We are seeking an experienced and skilled Estate Manager to oversee the day-to-day operation, maintenance, and development of our family-owned real estate assets in a rural community. As part of a collaborative team, you will work in a positive and friendly environment, utilizing your expertise to ensure the smooth operation of our properties.

Key Responsibilities
  • Manage and maintain various interior and external housing functions and infrastructure, including HVAC, appliances, plumbing, lighting, water supply, generators, and septic tanks, ensuring timely updates and coordination with third-party services as needed.
  • Oversee and respond to service requests from our principals, assigning tasks to the right teams and following up on progress to ensure quality.
  • Supervise and schedule full-time cleaning staff, ensuring high-quality service and maintaining a clean and organized environment.
  • Monitor smart home systems, identifying and prioritizing issues, and assigning them to internal or external service providers as necessary.
  • Assist internal personnel and service providers with regular task execution related to residential properties, ensuring seamless communication and collaboration.
  • Develop and maintain a preferred supplier and service provider roster, validating their skill sets and quality of work.
  • Assist with preparing annual budgets for capital projects and repair and maintenance, ensuring accurate forecasting and planning.
  • Maintain detailed property and equipment service and maintenance logs, providing valuable insights for future planning.
  • Provide regular estate management updates to family representatives, ensuring transparency and open communication.
  • Coordinate permit and related applications, ensuring compliance with regulations and deadlines.
  • Review and approve invoices, ensuring accurate and timely payment.
  • Attend monthly office meetings in Markham and occasional travel to our Florida estate, representing our company and contributing to strategic decision-making.
Requirements and Qualifications
  • Prior estate management experience is highly valued, with a preference for individuals with general contracting experience and/or a qualified skilled trade.
  • Ability to perform physical and technical tasks that require strength, coordination, and dexterity.
  • Ability to work independently with minimal supervision as well as part of a team, demonstrating flexibility and adaptability.
  • Effective management of multiple accountabilities and relationships within the reporting structure.
  • Demonstrated positive attitude and willingness to learn new skills, with a commitment to continuous improvement.
  • Excellent communication, problem-solving, and critical thinking skills, with the ability to execute tasks in a safe and efficient manner.
  • Flexibility in scheduling and willingness to work weekends and holidays, with a commitment to delivering high-quality results.
  • Experience with preventative and routine maintenance on small equipment and machinery, with a focus on safety and efficiency.
