POSITION OVERVIEW

The Project Coordination Specialist plays a pivotal role in supporting the planning, development, execution, and reporting of assigned project programs. This role ensures that all projects are delivered within the defined scope, timeline, and budgetary constraints, adhering to both BGIS and client procedural standards. The position involves overseeing renovation projects, installations, new construction, and other related initiatives of varying complexity, with all adjustments to schedules and projected expenditures documented in centralized reporting systems.

CORE RESPONSIBILITIES

Project Oversight

Aids in the supervision of Project Management Team Members, monitoring specific objectives and developmental plans. Tracks and oversees the execution of assigned facility-related projects from inception to completion, including new constructions, facility expansions, installation projects, renovations, and infrastructure enhancements.

Annual Capital Planning

Contributes to the formulation and execution of annual capital plans, establishing milestone schedules and facilitating decision-making for effective implementation.

Program Development and Delivery

Assists in the formulation and management of the delivery of assigned project programs, such as installation rollouts across multiple sites or the execution of interrelated projects. Ensures that program components are appropriately assigned and resourced by project delivery teams. Actively monitors and manages program progress, striving to initiate projects with sufficient lead time to meet client timelines and fulfill BGIS and team requirements regarding workload and financial considerations. Effectively executes and/or manages feasibility assessments and program development. Provides necessary reporting to support BGIS and client requirements concerning program execution.

Analysis and Reporting

Evaluates resource allocation, project status, overall financial health, and key performance indicators for client reporting and ongoing delivery enhancement. Ensures timely and accurate project and administrative reporting and system inputs.

Project Execution

Assists in managing project delivery teams to ensure that assigned projects and/or programs are completed within budgetary, cost, and service-level objectives. Proactively seeks additional service opportunities that can be provided by BGIS to benefit both the client and BGIS.

Additional Responsibilities

Undertakes other duties as assigned. Maintains a safety-first mindset.

REQUIRED QUALIFICATIONS

Exceptional organizational, documentation, and reporting capabilities. University degree or professional certification (e.g., P. Eng, CMA, CGA, or equivalent courses). Over five years of relevant work experience, ideally up to ten years. Self-driven and proactive. Skills in process and metrics interpretation, development, and analysis. Strong client service and management skills. Excellent interpersonal communication abilities. Outstanding verbal and written communication skills. Strong project management capabilities. Ability to handle multiple assignments concurrently. Extensive experience and skills relevant to the role. Experience in construction management, as applicable. Proficiency in estimating and forecasting. Problem-solving and conflict resolution skills. Knowledge of industry standards and regulations. Proficiency in relevant software applications, including MS Excel, Project, and Outlook.

Certifications and Licenses

Project Management Accreditation. Valid driver's license.
