Daily Activities Overview
Project Coordination and Management
- Assist Project Managers in overseeing the complete life-cycle of engineering design and construction initiatives, which includes the development, monitoring, and execution of project plans, reports, proposals, contracts, and electronic project setup and maintenance.
- Support design tasks (CADD design) related to transportation and municipal infrastructure, integrating elements such as water supply, sewage systems, roadways, land development site servicing, drainage, and waste management.
- Aid in drafting agreements and scope modifications for clients and sub-consultants/sub-contractors utilizing standard templates, while coordinating the contract review and approval workflow.
- Provide assistance with general accounting functions, including invoice processing, accounts payable, expense claims, database management, and project closure activities.
- Monitor, verify, and process invoices from sub-consultants/sub-contractors.
- Support project managers in maintaining document control systems among clients, consultants, and contractors, including tracking Requests for Information (RFIs), organizing project team meetings, and facilitating technical team responses.
- Deliver tailored project support to address specific project needs as required, such as:
- Attending project meetings to document and distribute minutes, engaging in client discussions, and coordinating with various departments within client organizations.
- Provide construction contract administration assistance, which encompasses procurement, payment certifications, change orders, reporting, and document management.
- Coordinate detailed arrangements for project meetings, public engagement sessions, or workshops, including venue selection, catering, display materials, and on-site event support.
- Assist in the creation of project documentation (letters, memos, forms, specifications), including planning and maintaining schedules, compiling contributions from multiple authors, incorporating tables/graphs/graphics, and coordinating quality and risk assessments.

Required Qualifications
Skills for Success
- Minimum of 5 years of experience in project administration, project coordination, or construction management, preferably with an engineering background.
- Post-secondary education in business administration or project management is advantageous.
Additional Experience
- Familiarity with basic accounting principles and financial functions.
- Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Strong attention to detail and accuracy, ensuring high-quality deliverables.
- Excellent verbal and written communication skills.
- Effective time management skills with the ability to prioritize tasks to meet tight deadlines and adapt to changing workloads.
- Strong interpersonal skills and a positive, proactive attitude.
- Capability to devise innovative solutions when faced with unexpected challenges.
- Experience with MS Project is a plus.
- Background in a professional services consulting firm (engineering/environmental/planning) is beneficial.
