Position Overview
As a Project Coordination Assistant, you will collaborate closely with senior management and project teams to facilitate various client service functions. Adhering to safety protocols is paramount as you contribute to our mission of providing high-quality service.
Key Responsibilities:
- Conduct thorough checks on all incoming files, ensuring accuracy in account details, client contacts, and sample identifications;
- Update and maintain login qualifiers on work orders;
- Create and revise account notes as necessary;
- Monitor the status of samples that are lost, missing, archived, or on hold;
- Assist with invoicing tasks, including corrections and monthly billing;
- Prepare and process client requests for shipping;
- Organize and file client information efficiently;
- Keep client account details current, including contact information and addresses;
- Confirm shipment statuses for both outgoing and returning samples;
- Process information requests from clients;
- Coordinate sublet testing, ensuring data is accurately entered and attached to final reports;
- Perform data entry for any parameters provided by clients or from the field;
- Aid in the preparation and organization of due lists for project managers;
- Review data statuses, including rush orders and missing samples;
- Assist with sample login and layout as needed;
- Support sample reception processes as required;
- Follow established procedures to ensure quality and safety in all tasks;
- Adhere to all health and safety regulations set forth by the organization;
- Undertake additional duties as assigned.
Candidate Profile:
- Strong customer service orientation;
- Positive and proactive attitude;
- Effective time management capabilities;
- Ability to perform under pressure;
- Highly organized and detail-oriented, with the capacity to work independently;
- Proficient in English communication, both written and verbal;
- Competent in Microsoft Word and Excel.
Required Qualifications:
- Completion of high school education;
- Previous experience in an environmental laboratory setting is advantageous;
- Training will be provided for the right candidate.
Physical Requirements:
- Capability to stand for extended periods;
- Ability to perform general office tasks, including sitting at a desk.
