The Equipment and Asset Management Specialist will collaborate with the Redevelopment Office Team, various Halton Healthcare personnel, and external advisors to oversee a diverse array of planning initiatives and projects associated with the selection, acquisition, and redistribution of equipment and furnishings. This role is crucial for the Georgetown Hospital Redevelopment Project and the ongoing operational requirements across all Halton Healthcare facilities.
Key Responsibilities:
- Engage with essential stakeholder groups (e.g., Biomedical Engineering, Finance, Quality and Risk Management) to develop and uphold a cohesive management strategy for effectively overseeing equipment and furniture assets across all Halton Healthcare locations.
- Administer an information system to facilitate equipment procurement, service contract evaluations, preventative maintenance documentation, lifecycle replacement planning, and warranty management.
- Maintain a comprehensive inventory of existing furniture and equipment, ensuring the asset database is consistently updated with new acquisitions, inter-site transfers, and disposal of surplus items.
- Coordinate asset transfers between sites as necessary, adhering to established policies.
- Monitor the integrity of data within Halton Healthcare's Asset Management System.
- Assist in the formulation of asset management policies and procedures.
- Generate and distribute reports to management concerning relevant asset information.
- Maintain accurate records and report on the status of ongoing activities.
- Participate in the Equipment & Asset Management Sub-Committee and other internal/external committees as required.
- Facilitate communication among end-users, consultants, and construction teams to ensure alignment with client and hospital objectives throughout the equipment planning process.
- Ensure standardization of equipment and processes across all sites, in line with established policies.
- Collaborate with the Redevelopment & Facilities team to ensure all equipment and asset management tasks are meticulously planned and executed.
- Align expectations between Halton Healthcare and procurement agencies or vendors.
- Participate in the assessment of furniture and equipment, ensuring user and physician involvement, while maintaining a consultative relationship with key stakeholders.
- Support the planning, procurement, and installation of Furniture, Fixtures, and Equipment for all Halton Healthcare Capital Projects.
- Assist in the annual capital request and approval processes.
- Provide analytical reports to aid in forecasting capital requirements and replacement strategies.
- Engage in various hospital equipment planning committees, prioritizing tasks accordingly.
- Coordinate activities with diverse user groups, consultants, and contractors to identify and address gaps or issues.
- Organize site visits and user group meetings effectively.
- Ensure all documentation regarding FF&E for capital projects is maintained in accordance with Halton Healthcare policies.
- Develop and maintain reporting and tracking tools.
- Create correspondence, reports, and presentations tailored for internal and external stakeholders.
- Perform general administrative duties related to contract management and external consultants.
- Contribute to the preparation of internal and external reports.
- Travel across multiple hospital sites as required, with personal vehicle necessary.
- Bachelor's Degree in Health/Life Sciences, Engineering, Business Administration, or a recognized equivalent.
- A minimum of 2 years of relevant hospital experience.
- Familiarity with CMMS or other asset management systems is preferred.
- Proficient in Microsoft Office applications.
- Experience in large-scale redevelopment projects within the last five years is preferred.
- Ability to interpret specifications, equipment cut sheets, and architectural, mechanical, and electrical drawings.
- Experience in drafting reports, specifications, and RFPs.
- Exceptional written and verbal communication skills with a strong customer service orientation.
- Self-motivated with the ability to work independently with minimal supervision.
- Strong organizational and multitasking abilities, thriving in a dynamic environment.
- Experience in evaluating and reviewing specifications and contracts critically.
- Strong problem-solving skills and ability to work collaboratively in a team setting.
