Key Responsibilities:
  • Partner closely with senior leadership to manage calendars, coordinate meetings, and facilitate strategic initiatives.
  • Oversee the day-to-day flow of the office, including managing supplies, coordinating vendor services, and ensuring everything from tech to office amenities runs smoothly.
  • Be the first point of contact for clients, ensuring they receive timely responses and that their needs are addressed with professionalism.
  • Arrange travel itineraries and accommodations for executives and clients. Organize team events and meetings, ensuring all details are meticulously handled.
  • Manage sensitive documents and maintain a high level of confidentiality. Oversee both digital and physical filing systems to ensure everything is organized and easily accessible.
  • Manage budgets for office supplies, process expense reports, and assist with financial planning related to office operations.
Requirements:
  • 2-3 years of experience in office management, executive support, or administrative roles (experience in a legal or immigration setting is a plus).
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and experience with cloud-based collaboration tools.
  • Experience handling confidential and sensitive information.
  • Knowledge of immigration processes, or a willingness to learn, is a plus.
  • Strong organizational skills with a high level of attention to detail.
