Position Summary:

Reporting to the Supervisor and Manager of Billing Compliance, the Billing Compliance Specialist plays a crucial role in managing all aspects of client intake and billing processes. This position demands a meticulous approach, with a strong focus on time management, organizational capabilities, technical proficiency, and interpersonal communication.

Key Responsibilities:

  • Assess and determine suitable rates for clients and matters, ensuring alignment with engagement letters or prior agreements.
  • Guarantee the precise and timely establishment and upkeep of client/matter rates and budgets within the accounting system and third-party e-billing platforms, including special fee arrangements in a Rates Database.
  • Engage with clients regarding rate submissions via third-party e-billing platforms and address any outstanding issues.
  • Facilitate Client Rate Renewals effectively.
  • Implement approved adjustments to timekeeper rates throughout the fiscal year.
  • Collaborate with the Pricing and Legal Project Management teams to secure new rates and client/matter agreements, ensuring timely submissions.
  • Serve as an expert in rates management structures within Aderant, supporting the billing process and guiding the Billing and e-Billing teams.
  • Respond to routine inquiries and provide information concerning rates and special fee arrangements.
  • Maintain and refresh training documentation and recordings relevant to the administration of billing rates and special fee arrangements.
  • Foster effective communication and interaction with peers, management, external vendors, and contacts at all organizational levels.
  • Contribute to departmental projects as assigned.

Qualifications:

Education and Experience:

A College diploma or University Degree in a business-related field is required, along with a minimum of three years of relevant experience. Previous experience in finance, billing, or project management within the legal or professional services sector is preferred. An equivalent combination of education, training, and experience may also be considered.

Knowledge and Skills:

  • Outstanding attention to detail, efficiency, and organizational skills.
  • Ability to thrive in a fast-paced, dynamic work environment and adapt to shifting priorities and demands.
  • Proficient in the MS Office suite, particularly Outlook, Excel, and Word.
  • Strong analytical problem-solving skills with mastery of advanced data functions (e.g., pivots, vlookups, formulas).
  • Familiarity with SQL is advantageous but not mandatory.
  • Experience with eBilling platforms (e.g., Legal Tracker, CounselLink, TyMetrix).
  • Experience with accounting systems, specifically Aderant or Elite.
  • Comfortable synthesizing large datasets from various systems.
  • Excellent verbal and written communication skills, capable of engaging with individuals at all levels of the organization.
  • Proactive work approach with a focus on continuous improvement and innovation.
