Position Overview
The Accounting Operations Supervisor is tasked with overseeing the Corporate Accounting Transaction Services Team, which includes both accounts payable and accounts receivable functions. This role also encompasses the management of sub-ledger activities, account reconciliations, and the accurate recording of financial transactions, both internally and externally.
The Supervisor will concentrate on the daily management of operations, guiding a team of unionized Accounting Clerks across various grades, with the assistance of a Team Lead. Responsibilities include reviewing weekly batches for A/P and A/R, resolving issues with Approvers across the organization, and aiding in reconciliations and complex A/P challenges as directed by the Manager.
This position reports directly to the Manager of Accounting Operations and supervises a team comprising a Team Lead, two Senior Accounting Clerks (Grade VI), nine Senior Accounting Clerks (Grade IV), and one Junior Accounting Clerk (Grade III).
Key Responsibilities
- Manage the daily operations of the Accounting Operations Team, ensuring adequate staff coverage and task completion.
- Conduct performance evaluations, providing constructive feedback and recommendations for improvement to accounting staff.
- Collaborate with Human Resources on employee-related matters pertaining to the MoveUp Union.
- Ensure the timely and accurate processing of accounts payable transactions.
- Review and post batches, accruals, and adjustments prepared by the accounting team.
- Oversee the administration of the Accounts Payable system, addressing any setup issues or resets.
- Facilitate weekly payment runs and manage post-payment processes.
- Monitor key performance indicators and develop troubleshooting guidelines.
- Approve and post manual match batches for wire transactions.
- Verify bank details for new vendors or changes to existing vendor information.
- Maintain cheque listings and generate reports for fraud protection.
- Assist in the filing and payment of various taxes.
- Oversee the month-end closing of the A/P and A/R modules, ensuring alignment with the general ledger.
- Manage remote cheque deposit functions and handle stop payment requests.
- Reconcile accounts and maintain balance sheet documentation on a monthly basis.
- Support the annual audit process by preparing necessary documentation and responding to inquiries.
- Generate weekly estimates and forecasts for accounts payable.
- Contribute to the development and documentation of policies and procedures related to accounts payable, receivable, and invoicing.
- Prepare additional reports and analyses as required.
Qualifications
- Bachelor's degree in Business Administration, Accounting, or a related field is preferred.
- Progress towards a professional accounting designation (CPA) is advantageous.
- A minimum of 5 years of relevant accounting experience, particularly in account reconciliations and managing A/P and A/R.
- At least 3 years of experience in a supervisory role, ideally with unionized teams.
- Familiarity with JD Edwards Enterprise One (ERP) and Business Intelligence tools is beneficial.
- Strong customer service orientation, self-motivated, and proactive.
- Excellent analytical skills for handling complex account reconciliations.
- Strong organizational and time management abilities.
- Ability to work collaboratively and prioritize multiple tasks effectively.
- Comprehensive understanding of financial practices and procedures.
- Capability to work independently under tight deadlines.
- Knowledge of auditing and IT functions is a plus.
- Exceptional oral and written communication skills.
- Proven ability to lead and motivate staff to enhance productivity.
