Portfolio Administration Team Lead

HomeEquity Bank is seeking a highly skilled and experienced Portfolio Administration Team Lead to join our team. As a key member of our Portfolio Administration team, you will be responsible for providing management support and acting as a Subject Matter Expert (SME) for Portfolio Administration inquiries and handling second-level internal escalations for our products and contract nuances.
Key Responsibilities:- Assist management in developing, coaching, mentoring, and leading the team through new process changes, fostering change to build overall consistency.
- Act as a liaison between the Portfolio Administration, Operations, and the Client Relations teams.
- Assist directly with project work and help with quality control testing on some of our day-to-day processes.
- Handle escalations quickly and take ownership of them.
- Conduct investigations on complex situations resulting from various contract stipulations, and document new procedures to be built into Standard Operation Procedures (SOPs).
- Perform quality control checks on various documents/tickets.
- Provide feedback and knowledge for updating and evolving our KPIs and other measures.
- Daily assignment of tickets/tasks to the team.
- Coordinate customer confirmation of property taxes.
- Review insurance policies for adequacy of coverage.
- Follow up to confirm payment of property taxes.
- Coordinate regulatory communications as required.
- Apply payments, charges, fees appropriately.
- Liaise and coordinate with external partners (e.g., appraisers, lenders, etc.) and internal partners (e.g., Sales Agents, Underwriting, etc.).
- Communicate file-specific requirements.
- Ensure timely receipt and processing of required documentation.
- Review and validate documentation required for processing of new mortgages for accuracy and adherence to regulations and guidelines.
- Process full and partial discharges.
- Evaluate and process severance/subdivision documentation.
- Review and coordinate POA / PGT requests.
- Ability to train and coach team members while providing feedback.
- Strong communication and conflict management skills.
- University degree or community college diploma.
- Strong relationship management skills.
- Well-organized and equally comfortable working independently or as a contributing member of a collaborative team.
- Sound understanding of the current financial services environment.
- Thrives on variety and continuous improvement.
- Strong analytical skills and attention to detail, thorough, accurate, and organized.
- Results-oriented individual and able to manage time-sensitive information.
- Ability to think critically, demonstrate solid problem-solving skills and good judgment.
- Strong computer skills, MS Office and ability to adapt to and understand CRM platforms (Salesforce, etc.).
- Bilingual skills (English and French) are an asset.
- Experience with legal contracts is an asset.
