St. Clement's School is seeking a dedicated School Office Administrator to enhance our administrative team on a full-time basis. This role is pivotal in ensuring the seamless operation of the School Office and fostering effective communication within our educational community.

KEY RESPONSIBILITIES
  1. Uphold a professional representation of the School, ensuring a welcoming atmosphere for all community members through various communication channels.
  2. Assist in the administration and daily functions of the School Office, adhering to established policies and acting as a liaison for parents regarding operational matters.
  3. Oversee the student database system, ensuring precise data entry, maintenance, and report generation as needed.
  4. Manage the logistics of student arrival and departure, including traffic and active travel initiatives.
  5. Provide support to the Receptionist during breaks and absences, and assist in coordinating faculty coverage.
  6. Facilitate the food service program, student photography, and other auxiliary services.
  7. Help prepare registration materials and follow up as necessary.
  8. Offer administrative support to the Director of Student Life, including:
  9. Managing student trip logistics, including permission forms and transportation coordination.
  10. Assisting with the organization of emergency evacuation drills and procedures.
  11. Coordinating facility rentals with external parties in collaboration with the Facilities Manager.
  12. Supporting the School Office team in organizing and managing school events.
  13. Handling communication related to School Office activities, including posting notices and sending emails regarding procedural matters.
  14. Assisting with the entry of school calendar information on the School website and managing internal room bookings.
  15. Performing other duties as assigned by the School.
QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES OF OUR IDEAL CANDIDATE
  1. A post-secondary degree or diploma, coupled with a minimum of two years of administrative experience.
  2. Proficient technical skills and experience with database management; familiarity with student databases is an advantage.
  3. Exceptional customer service abilities, with strong written and verbal communication skills, and a talent for building relationships with a diverse range of individuals.
  4. A solid understanding of tact, diplomacy, empathy, and confidentiality.
  5. Proficiency in Google Suite and Microsoft Office, particularly in spreadsheet management, including formula creation and data manipulation.
  6. Strong project management and problem-solving capabilities, with a keen analytical mindset and attention to detail.
  7. A genuine interest in working with young adults and children.
  8. A criminal record check is required as a condition of employment.
