The Role: Document Support Specialist
We are seeking a detail-oriented and organized Document Support Specialist to join our growing team in Saint John. This role will play a vital part in ensuring smooth logistics operations by providing administrative support, managing documentation, and assisting Logisticians.
Responsibilities:
- Collaborate closely with Logisticians to ensure daily administrative tasks and documentation requirements are met.
- Maintain both physical and electronic document storage systems, keeping the Transportation Management System (TMS) up-to-date.
- Provide operational and TMS system support to Logisticians.
- Process manual and electronic vendor invoices for approval.
- Conduct freight claim investigations.
- Perform other duties as assigned.
Qualifications:
- A college diploma or an equivalent combination of education, certification, and relevant experience.
- Experience in 3rd party logistics or a Traffic Department for a large Shipper is highly valued.
- Ability to participate in an on-call after-hours rotation.
- Entrepreneurial spirit with a proactive and can-do attitude.
- Strong analytical and problem-solving skills.
- Excellent organizational skills with the ability to plan, prioritize, and manage multiple tasks effectively.
- Proficiency in reading, preparing, and understanding product shipment information from various order, shipping, and customs documents.
- Ability to work independently, as part of a team, and with colleagues across multiple locations.
- Meticulous attention to detail with effective time management, project management, and organizational skills.
- Strong verbal, written, and interpersonal communication skills that foster productive working relationships with co-workers, clients, and business partners.
- Experience with ERP and/or other Transportation Management Systems (TMS).
- Proficiency in Windows, Excel, Word, and TMS-related software.
