Graduate Programs Coordinator

Position Overview:
Under the guidance of the Senior Associate Dean, the Academic Affairs Manager will facilitate the operational aspects of the graduate programs within the Holzschuh College of Business Administration and the College of Arts and Sciences.
Key Responsibilities:
- Evaluate and process applications for graduate programs in Business and Arts & Sciences.
- Oversee the transcript evaluation process.
- Provide academic advising, which includes:
- Assisting with course registration for both new and returning students.
- Monitoring student progress and identifying those who may need academic probation notifications.
- Assessing student eligibility for graduation and participation in commencement ceremonies.
- Identifying course delivery requirements to support program management.
- Develop and distribute faculty communications, such as newsletters.
- Maintain accurate internal and external faculty directories.
- Assist in faculty recruitment efforts as needed.
- Support the Senior Associate Dean with various academic and regulatory responsibilities.
Time Allocation:
45% Application processing for graduate programs
35% Academic advising
10% Faculty affairs (recruitment and communications)
10% Additional duties as assigned
Required Qualifications:
- Proven experience in administrative roles within an academic environment.
- Exceptional proficiency in both written and spoken English.
- Competency in computer applications, including Microsoft Office and Google Suite, with the ability to learn new software.
- Strong organizational skills and meticulous attention to detail.
- Capability to execute essential job functions with minimal supervision.
- Sound judgment to ensure timely task completion.
- Office management skills with the ability to work autonomously and take responsibility.
- Flexibility and professionalism in interactions with visitors and stakeholders while maintaining confidentiality.
- Excellent verbal and written communication abilities.
- A commitment to values aligned with the Catholic and Vincentian traditions of the institution.
Physical Requirements:
This position primarily involves sitting but may require standing, bending, and other movements. Tasks may involve extensive use of a computer keyboard and software applications, necessitating significant wrist and hand movement. All individuals must be capable of performing these movements without risk of injury.
Qualifications:
- A Bachelor's degree is required, with a preference for candidates holding a Master's degree.
- A minimum of four years of relevant experience is required.
- Experience in an educational setting is preferred.
- A valid driver's license that meets university and insurance standards is required.
