Position Overview

The Facility Specialist plays a vital support role, tasked with providing site-specific facility management insights throughout the project lifecycle. Acting as an extension of the Facility Manager (FM), the Facility Specialist ensures that all site-related needs and operational implications are addressed effectively. This consultative role collaborates closely with the Project Manager (PM) to deliver essential information for the successful execution of projects. The Facility Specialist utilizes their expertise in facility management to support the operational aspects of the facility throughout the project lifecycle.

Key Responsibilities

Project Initiation:
  1. Work alongside the Project Manager (PM) and Asset Manager (AM) to validate the Scope of Work.
  2. Identify and provide contacts for essential stakeholders, including Landlord and Ministry representatives.
  3. Deliver comprehensive site information, including operational hours, escort requirements, and program specifics.
  4. Provide detailed access information, including card access and security protocols.
  5. Identify any concurrent projects at the site.
Design Assessment:
  1. Engage in Design Review meetings to stay informed on design progress and changes affecting site requirements.
Construction Coordination:
  1. Participate in kickoff meetings to understand operational impacts related to the project lifecycle.
  2. Identify requirements for tenant communications and escorting needs.
Additional Meetings:
  1. Attend meetings as necessary to provide site-specific facility management input.
Project Completion Walkthrough:
  1. Participate in walkthroughs to evaluate project completion and address performance gaps.
  2. Review documentation to identify site deficiencies impacting operations.
  3. Accept projects only after thorough review of performance reports.
  4. Escalate potential issues affecting site operations.
Tenant Impact Analysis:
  1. Assess potential project impacts on tenants, including disruptions.
  2. Provide necessary information to support tenant communication processes.
  3. Coordinate with the Project Manager to ensure effective communication of tenant-related details.
Incident Oversight:
  1. Monitor incidents occurring at the site and communicate using established tools.
  2. Participate in Root Cause Analysis processes as needed.
Procedure Reviews:
  1. Facilitate the approval of procedures through internal stakeholders.
  2. Support the Change Request Order process as required.
Access Coordination:
  1. Share access requirements with the Project Manager.
  2. Ensure effective organization of access for project consultants and vendors.
  3. Provide landlord contact information for lease sites.
Training and Commissioning:
  1. Coordinate technical resources for equipment training and commissioning.
Technical Participation:
  1. Act as the facilities representative in technical reviews related to site requirements.
Required Skills and Qualifications
  1. Experience in facility management or a related field.
  2. Strong organizational and communication abilities.
  3. Collaborative mindset to work with various stakeholders.
  4. Detail-oriented with the capacity to understand complex site-specific requirements.
  5. Familiarity with building operations and access procedures.
  6. Excellent interpersonal skills.
  7. Strong analytical and problem-solving capabilities.
  8. Proactive in identifying operational impacts.
  9. Ability to manage multiple tasks effectively.
  10. Knowledge of security protocols and access control systems.
