ROLE OF THE CONTRACT ADMINISTRATORAs an Intermediate/Senior Contract Administrator, reporting directly to the Managing Director of Projects, you will leverage your extensive experience (10+ years) to engage with job sites, clients, municipalities, and project managers. Your role will involve the preparation and assessment of Contract Documents and the resolution of contractual and construction-related challenges.
Key Responsibilities:- Oversee the administration of projects of varying scales.
- Maintain consistent communication with project managers, designers, field inspectors, contractors, property owners, and clients throughout the construction phase to ensure project objectives are achieved.
- Evaluate drawings and specifications produced by GGA and address Contractor inquiries.
- Conduct regular site visits, providing necessary documentation and following up on site visit reports while summarizing meetings.
- Compile deficiency lists and secure essential project closeout documentation from contractors.
- Authorize the Certificate of Payment prepared by Administration.
- Coordinate warranty reviews with the Owner, Contractor, and Consultants one month before the warranty expiration.
- Prepare and issue a Safe Visit Report detailing warranty items.
- Review plans, specifications, and contracts, articulating contract conditions and details to project stakeholders.
- Generate administrative documents for contractor distribution.
- Ensure compliance with legal requirements, owner specifications, and government regulations by contractors at all times.
- Manage change requests and claims effectively.
- Ensure staff adhere to safety policies, procedures, and legislative requirements.
- Review and provide feedback on Contractor Requests for Substantial Performance, including responses for projects under your responsibility.
- Facilitate the internal production of as-built drawings if this service is to be provided to the Owner.
- Confirm project compliance with occupancy requirements (i.e., safety for public use) and prepare the necessary schedule C1 and C2 for signing and stamping by the Partner in Charge.
- Conduct all work in alignment with company policies.
- Exemplify leadership in all work areas.
- Possess a minimum of 10 years' experience in a Contract Administration capacity.
- Demonstrate the ability to mentor and inspire junior staff.
- A diploma in Architectural Technology is advantageous.
- Have experience with contract administration documentation.
- Exhibit excellent organizational and prioritization skills, with the ability to work autonomously.
- Possess strong interpersonal skills, along with conflict resolution, negotiation, and leadership capabilities.
- Display meticulous attention to detail, with the ability to work under pressure and manage multiple tasks.
- Demonstrate exceptional English written and verbal communication skills.
- Be proficient in MS Office applications, including Word, Excel, and Outlook; proficiency in Revit is a plus.
- Hold a valid class 5 driver's license.
