Job Title: Guest Services Agent

We are seeking a highly skilled Guest Services Agent to join our team at Old Orchard Inn. As a Guest Services Agent, you will be responsible for providing exceptional customer service to our guests, ensuring their stay with us is memorable and enjoyable.

Key Responsibilities:
  • Guest Registration: Register arriving guests and assign rooms, ensuring a smooth and efficient check-in process.
  • Group Arrivals and Departures: Process group arrivals and departures, taking into account the specific needs of each group.
  • Room Reservations: Take, cancel, and change room reservations as needed, ensuring accurate and up-to-date information.
  • Information Provision: Provide guests with information on hotel facilities and services, as well as points of interest in the area.
  • Foreign Currency Exchange: Exchange foreign currency for guests, ensuring accurate and secure transactions.
  • Departure Processing: Process guests' departures, calculate charges, and receive payments in a timely and professional manner.
  • Inventory Management: Maintain an inventory of vacancies, reservations, and room assignments, ensuring accurate and up-to-date information.
  • Emergency Procedures: Follow emergency and safety procedures, ensuring the well-being of guests and staff.
  • Clerical Duties: Perform various clerical duties, including faxing, filing, and photocopying, as needed.
  • Telephone and Messaging: Answer telephone calls and relay messages to guests and staff, ensuring prompt and accurate communication.
  • Special Needs Assistance: Assist guests with special needs, providing personalized support and care.
  • Wake-Up Calls: Contact guests to deliver requested wake-up calls, ensuring timely and accurate service.
  • Customer Service: Provide exceptional customer service, responding to guest inquiries and resolving issues in a professional and courteous manner.
Requirements:
  • Computer and Technology Knowledge: Proficiency in word processing software, central reservation systems, and spreadsheets.
  • Security and Safety: A clean criminal record check, ensuring a safe and secure work environment.
  • Work Conditions and Physical Capabilities: Ability to stand for extended periods, with attention to detail and excellent communication skills.
  • Personal Suitability: Client-focused, efficient interpersonal skills, excellent oral communication, and sound judgment.
