Patient Registration Specialist, Ambulatory Care

Key Responsibilities
- Employing a digital scheduling platform, manage and organize patient appointments and follow-up sessions, which includes coordinating intricate interdisciplinary bookings, modifying arrangements as per patient and departmental needs, and informing both patients and healthcare providers, ensuring that the correct date, time, and location are communicated to patients, along with making reminder calls to patients and their families.
- Register patients upon their arrival using a computerized scheduling system.
- Verify that patient demographics and relevant information are complete and accurate, following up with necessary parties as needed. Notify the appropriate professional of the patient's arrival.
- Carry out receptionist and various clerical tasks such as answering phone calls, addressing inquiries and requests for information, retrieving patient files as needed, welcoming patients and families, printing daily and/or monthly schedules, and directing issues and complex queries to the right personnel.
- Compile and maintain client records by utilizing the appropriate forms and layout according to established protocols and filing documentation. Contact physicians' offices or hospitals to request client information/documentation to ensure the accuracy of records and charts.
- Execute referral tasks, including gathering additional or missing information, performing data entry, and managing related paperwork.
- Schedule new referrals based on set criteria and collaborate with physicians, clinic nurses, and other allied health professionals to appropriately arrange referrals based on clinical indicators.
Required Qualifications
- Completion of Grade 12.
- A minimum of two (2) years of recent experience, or an equivalent combination of education, training, and experience.
Additional Skills
- Proficient typing skills (45 words per minute) and knowledge of medical terminology.
- Strong verbal and written communication abilities.
- Effective interpersonal skills.
- Ability to organize work efficiently.
- Competence in operating related equipment.
- Capability to physically perform the duties of the position.
- Commitment to understanding and learning about the Truth & Reconciliation Commission's 94 Calls to Action (2015), In Plain Sight Report (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), and other relevant reports.
- Dedication to fostering meaningful reconciliation in Canada as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
- As a valuable asset, familiarity with the social, economic, political, and historical contexts affecting Indigenous communities, along with knowledge of Indigenous Cultural Safety and anti-racism initiatives (BC DRIPA, TRC, etc.).
