Role Overview

This position serves as the primary contact for the School of Engineering Science (ENSC), delivering essential front-line services by addressing inquiries from current and prospective students, faculty, staff, visitors, and the general public regarding the programs offered by ENSC. The role encompasses a variety of administrative and secretarial responsibilities, including:

  • Monitoring and tracking prospective student applications for various programs.
  • Coordinating and managing application processes.
  • Recommending updates to School and University database systems.
  • Conducting preliminary admission and progress assessments.
  • Prioritizing applicants to facilitate the candidate selection process.
  • Preparing and distributing orientation materials.
  • Organizing information sessions and orientation events.
  • Generating statistical reports.
  • Liaising with faculty and staff to stay informed about issues, processes, or policies affecting programs.
  • Reviewing the ENSC website to ensure information is accurate and up-to-date.
  • Preparing documentation and coordinating arrangements for course outlines, schedules, evaluations, student exams, thesis defenses, and oral examinations.
  • Assisting with the degree audit process and monitoring progress reports.
  • Scheduling program committee meetings and managing minutes.

Qualifications

Applicants should possess a high school diploma along with one year of post-secondary education or a formal certificate/diploma program that includes coursework in word processing, database management, spreadsheet applications, and office practices. A minimum of three years of relevant experience is required, or an equivalent combination of education and experience may be considered.

  • Strong interpersonal and professional customer service skills.
  • Exceptional organizational and prioritization abilities.
  • Outstanding analytical, reasoning, and problem-solving skills.
  • Comprehensive knowledge of University and Faculty regulations, policies, and procedures.
  • Proficiency in using enterprise-level information systems (e.g., PeopleSoft, SAP, or equivalent) at an intermediate level.
