Job Summary

This position provides administrative support to Dr. Daryl Wile, Clinical Investigator, Centre for Chronic Disease Prevention and Management. The role involves assisting with grant applications, Research Ethics Board submissions, and operational approvals for projects. The Coordinator will also schedule meetings, maintain project timelines, and ensure forward action on project tasks.

Key Responsibilities
  • Schedule research-related meetings and block time for research activities in collaboration with clinic staff.
  • Liaise with the Office of Research Services regarding grant and funding applications.
  • Assist with submission of project-related documentation, including entering components into the RISe system and identifying gaps or errors.
  • Maintain project-related timelines and ensure forward action on project tasks during periods of increased clinical workload.
  • Assist with purchasing and invoicing related to research projects.
  • Ensure an adequate supply of materials and resources required for research activities.
  • Review financial paperwork for accuracy and maintain project financial records.
  • Follow up with purchasing and vendor issues related to research purchases.
  • Maintain project data records collected by researchers and research team members.
  • Create and maintain Standard Operating Procedures (SOPs) and Records Management Systems for this position.
Requirements
  • High school graduation, with some additional training in a related field. Undergraduate degree preferred.
  • Minimum 2 years of related work experience in office administration or accounting, or an equivalent combination of education and experience.
  • Ability to analyze and reconcile financial statements and maintain budgets.
  • Ability to use Microsoft Office software and learn new software programs.
  • Ability to communicate effectively verbally and in writing.
  • Ability to exercise tact and discretion.
  • Ability to work effectively independently and in a team environment.
  • Knowledge of UBC, Southern Medical Program, and CCDPM policies and procedures is an asset.
  • Familiarity with project management, including Gantt-style charts, is an asset.
  • Experience working in a research environment in an academic and/or clinical setting is preferred.
Working Conditions

The position is located within a health-care facility, and the successful candidate will be required to provide verification of full vaccination against Covid-19 prior to the start date, as required by a provincial health mandate.
