The Project Management Specialist plays a crucial role beyond mere oversight; they serve as the central point of contact throughout the project lifecycle. As projects evolve from concept to execution, they support project managers and, when designated, initiate all development activities associated with the project. This role entails formally coordinating tasks across all stages of the Product Development Process, from initial conception to market launch.
Key Responsibilities
- Engage with project management protocols and keep key stakeholders informed about project progress. Collaborate with the Project Manager to refine processes as necessary.
- Develop and uphold precise project timelines for all assigned initiatives, ensuring alignment with the Product Development process.
- Compile and structure project documentation, including Product Definitions, Project Charters, and Commercialization Plans, at the project's outset. The Project Management Specialist organizes this information, secures formal approvals for project initiation, coordinates with finance, and facilitates project kick-off activities.
- Establish, organize, and oversee the activities, expenses, and timelines of a Product Development Project.
- Collaborate with Product Planning to liaise with Sales & Marketing to ascertain project/product needs and equipment specifications.
- Guarantee that project requirements are effectively communicated and comprehended by the project team.
- Facilitate the coordination of activities among Engineering, Purchasing, Manufacturing, and other relevant departments to ensure adherence to timelines.
- Schedule cross-functional meetings at appropriate intervals to ensure team alignment.
- Monitor and report on project progress, including monthly financial tracking, as necessary. Maintain communication with all stakeholders to optimize efforts and minimize timelines.
- Manage scope changes through effective utilization of project change requests.
- In collaboration with finance, effectively oversee project cash flow by striving to meet milestones.
- Supervise the dissemination of technical information to manufacturing, ensuring accuracy and correctness of data and drawings.
- Communicate any issues regarding team dynamics or project outcomes to department leadership.
- Maintain a positive work attitude and provide leadership to foster a constructive working environment.
- Act as a problem solver, assisting in the development of necessary solutions and addressing any existing gaps.

Required Skills
Required Experience
- 3-5 years of experience related to project management.
- CAPM or equivalent certifications are considered advantageous.
- Advanced proficiency in Microsoft Project scheduling software is essential.
- Strong communication skills and a positive work attitude are required.
- Familiarity with engineering documentation, including drawing specifications.
- Proficient in the use of spreadsheets, databases, and word processing software, with the ability to process data and format project reports.
