Role Overview

The CMS Services Specialist plays a vital role within Borden Ladner Gervais LLP's Matter Lifecycle department. This position is essential for overseeing the implementation of special billing rates, managing user access, performing data entry, and ensuring the quality of data imports and exports from Aderant, our legal practice management system. The CMS Services Specialist collaborates with various teams to uphold the accuracy and integrity of data throughout the legal matter lifecycle.

Primary Responsibilities

The primary responsibilities of this role include:

  • Working alongside billing professionals to establish special rates for clients, ensuring precise and timely application across various matters.
  • Monitoring and updating the special rates database as necessary.
  • Conducting regular audits to ensure compliance with established rate guidelines.
  • Managing user access processes for Aderant, ensuring prompt and accurate setup for new employees and role transitions.
  • Coordinating with the IT department to maintain access controls and security protocols.
  • Providing ongoing support and troubleshooting for user access-related challenges.
  • Executing accurate data entry tasks, including matter details, client information, billing rates, and other pertinent data into Aderant or other systems as required.
  • Validating and verifying data accuracy to uphold data integrity, performing regular audits to identify and resolve discrepancies.
  • Overseeing the import and export of data from Aderant, ensuring integrity, consistency, and adherence to established procedures.
  • Conducting routine quality checks on imported/exported data, addressing any issues promptly.
  • Collaborating with various stakeholders, including Professionals, Finance, and IT, to resolve data-related challenges and ensure timely completion of assigned tasks.
  • Maintaining effective communication channels to provide updates and gather feedback on process enhancements.
  • Offering end-user support for Aderant and escalating issues to IT as necessary.
  • Working closely with application vendors to log issues/enhancements and follow up until resolution.
  • Assisting in training end-users on data entry procedures and the use of Aderant.

Essential Competencies

The essential competencies required for this role include:

  • Preferred post-secondary education.
  • 3 to 5 years of office experience, including relevant experience in the field.
  • Prior experience with Aderant or similar legal practice management software is highly desirable.
  • Strong attention to detail and the ability to work meticulously with data entry and verification tasks.
  • Excellent organizational and time-management skills, with the capability to prioritize and manage multiple tasks simultaneously.
  • Proficiency in using MS Office Suite and data manipulation tools.
  • Knowledge of legal billing processes and familiarity with special rate implementations is advantageous.
  • Strong analytical and problem-solving abilities.
  • Effective communication and interpersonal skills, with the ability to collaborate across teams.
