Job Title: Program Assistant - Housing Access

We are seeking a highly organized and detail-oriented Program Assistant to join our Housing Access team at WoodGreen Community Centre. As a key member of our team, you will provide administrative support and client services to ensure the smooth operation of our programs and services.

Key Responsibilities:
  • Provide initial screening and registration of clients, and refer them to appropriate programs.
  • Support the Centre by preparing flyers, calendars, and arranging for printing and distribution of materials.
  • Respond to general inquiries regarding the application process for WoodGreen Housing.
  • Develop and maintain information and referral binders/sheets on the Centre's programs and community resources.
  • Assist with organizing programming, including preparing handouts, setting up program rooms, collecting necessary documents, and compiling workshop and evaluation statistics.
  • Monitor the site's main telephone and ensure all messages are promptly responded to and redirected to the correct program/person.
  • Assist Manager with the development and recorded documentation of policies and processes as they pertain to the Centre.
  • Assist Manager with collecting, organizing, and inputting data and preparing statistical reports related to the Centre.
  • Monitor and ensure proper client use of washrooms.
  • Monitor lobby conditions for any health and safety hazards and report hazards to building services or management to be addressed.
  • Schedule and organize regular safety procedures, protocols, and trainings, such as fire drills, first aid, and CPI.
  • Assess the individual's needs and provide the client with information and referral to the centre and agency resources to support them.
  • Identify/respond to potential crisis situations before they occur and take steps to de-escalate minor situations and seek support when necessary.
  • Coordinate and attend de-briefings as needed.
  • Support/coordinate volunteers and students working in the reception area to meet client needs.
  • Receive, sort, and coordinate mail delivery to offsite and internal locations.
  • Receive and maintain an accurate record of items for pick-up.
  • Arrange for courier pick-up for staff within the 650/841 Queen Street East Site.
  • Maintain and order all office, programming, harm reduction kits, hygiene, and first aid supplies.
  • Support the Centre's team and agency in achieving objectives and strategic priorities.
  • Maintain and respect the confidentiality of staff, clients, volunteers, students, and community members/partners.
  • Participate in regular supervisory sessions with the Manager of Housing Access, Partnerships, and Tenant Supports.
  • Participate in regular staff meetings within the units, take meeting notes, and distribute minutes.
  • Engage in training and education to upgrade skills as directed by WoodGreen Community Centre to fulfill the responsibilities of the position.
  • Ensure the anti-racism objectives and community development principles of the organization are achieved within the program.
  • Be responsible for representing the unit on internal staff committees as directed by the Manager.
  • Perform other related duties as required/assigned.
Requirements:
  • Community Worker Diploma, Social Services Worker Diploma, Human Services Counsellor Diploma, or other equivalent 2-year college diploma or other relevant experience and training.
  • One (1) year experience working in a social service sector.
  • Experience working with potentially hostile and aggressive clients.
