  • Manage calendars and schedule appointments for the VP of Legal Affairs and their direct reports, ensuring efficient time management and coordination.
  • Coordinate meetings, including booking conference rooms or virtual meeting platforms, preparing agendas, taking minutes, and distributing materials.
  • Handle correspondence, drafting and editing letters, presentations, and reports with accuracy and professionalism.
  • Maintain organized filing systems for legal documents and records, ensuring easy access and retrieval of information.
  • Assist with departmental budgeting processes, including billing procedures and expense reporting.
  • Liaise with external stakeholders such as law firms, suppliers, and clients, providing excellent customer service and communication.
  • Implement and maintain procedures related to the use of corporate IT systems, ensuring efficient access and utilization of resources.
  • Provide administrative support to Legal Team members, including managing licenses, professional memberships, and continuing education credits.

Qualifications:

  • Minimum 10 years of experience as an Executive Assistant or in a similar role within a medium or large organization.
  • Exceptional communication skills, both written and verbal, with fluency in French and English.
  • Strong attention to detail and accuracy, ensuring meticulous handling of sensitive information.
  • Ability to anticipate needs, evaluate situations, and make recommendations for seamless operations.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Demonstrated ability to work effectively as part of a team and foster a positive work environment.
