Position Overview

We are in search of a proactive and skilled IT Contract Management Specialist to oversee program contracts within a multifaceted technology initiative involving various vendors. This role entails ensuring compliance with approved terms and conditions, scope of work, Service Level Agreements, deadlines, deliverables, and critical milestones to guarantee the effective execution of contracts.

Risk management for the project is also a key responsibility, requiring the identification, analysis, and response to any risks and issues that may arise throughout the Program's lifecycle. This role will assist the Project Manager and Leadership team in the planning process to accurately evaluate potential risks and implement control measures as necessary. Proactive risk mitigation is crucial to prevent risks from escalating into issues. This position is vital for monitoring, categorizing, prioritizing, and strategizing risks before they develop into problems.

Key Responsibilities
  • Oversee all Program contracts to ensure adherence to all contract specifications, achievement of goals, and identification of any potential breaches.
  • Generate periodic reports on contract compliance and ensure they are effectively communicated and updated regularly.
  • Thoroughly analyze contracts to develop and implement contract/claim management strategies.
  • Track various Program workstream scopes and associated deliverables in relation to contract obligations, including monitoring project timelines to meet contractual milestones.
  • Ensure timely issuance of contractual notifications.
  • Collaborate with all Program vendor partners regarding Change Orders influenced by scope, schedule, resources, and other modifications, in accordance with contracted terms.
  • Work with Program Leadership and Administrative teams to maintain organized filing and easy access to correspondence.
  • Develop and implement Program-specific processes and methodologies for contract and claim management.
  • Monitor, document, and inform the Program Leadership team of potential contract violations, managing all elements and supporting documentation for claims and counterclaims negotiations.
  • Understand Program and workstream risks, assist in identifying new risks, track contingencies for realized risk items, and report risk-related details in regular updates.
  • Oversee all requests from Program vendor partners for variations/change orders/extensions of time, ensuring follow-up to achieve transactional closure, including updates to milestones and preparing necessary correspondence for approval.
  • Provide proactive guidance on specific issues, risks, and contractual/claims activities, considering both contract and business objectives.
  • Report on contract management and claims activities to relevant stakeholders.
  • Anticipate events and risks associated with contract management activities; propose various counterstrategies and commercial solutions to maintain control over situations.
  • Collaborate closely with the Program Leadership Team to identify and mitigate risks, as well as to identify, maximize, and leverage claim opportunities.
  • Deliver reliable and comprehensible contractual and commercial analyses of Program workstreams/projects as required by management.
Qualifications
  • Proven experience in technology contract management and contract risk compliance.
  • Experience in monitoring contracts and reporting within a complex project/program environment.
  • Certification or training in contract management or controls.
  • Familiarity with contract management software.
  • Experience in energy utilities sector projects is a plus.
  • Knowledge of risk management standards related to contract management.
  • Experience in Oracle Utilities replacement projects is advantageous.
  • Audit certifications and experience, such as internal audit, are beneficial.
  • Demonstrated track record of savings along with positive client references attesting to successful outcomes.
