The Process Improvement Analyst plays a crucial role within the Office of the Vice President Research and International (OVPRI), reporting directly to the Senior Manager of the Project Management Office. This position is responsible for delivering comprehensive process analysis services and facilitating training initiatives aimed at enhancing the operational efficiency of the Vice President Research and International (VPRI) portfolio and the wider research community.

This role is pivotal in fostering collaboration among AVPs, directors, managers, staff, and various stakeholders, including decision-makers and process owners. The analyst will define business requirements, scrutinize processes, and pinpoint opportunities for enhancement.

Additionally, the incumbent will provide departmental training in LEAN Six Sigma methodologies.

Business Process Analysis

In partnership with AVPs, directors, managers, and stakeholders, the analyst will lead or assist in developing business cases and relevant project documentation as needed.

The analyst will support AVPs, directors, managers, and end users through detailed analysis and, if necessary, re-creation of issues to identify root causes, whether they stem from system configurations, data integrity, or network challenges. Regular meetings with decision-makers, process owners, and end users will be conducted to establish business and operational requirements, set process improvement objectives, and address process-related challenges.

Working independently and proactively, the analyst will spearhead initiatives across all facets of business analysis pertinent to project execution.

Collaboration with internal working group members and project chairs, as well as external agencies and peer institutions, will be essential.

The analyst will elicit, analyze, validate, specify, verify, and manage project requirements and departmental initiatives.

Utilizing interviews, document analysis, workshops, surveys, site visits, and other business analysis techniques, the analyst will identify and interpret business requirements.

Facilitating communication between business teams will be necessary to resolve conflicts, promote process elicitation, and implement necessary changes.

Support for Business Processes

The analyst will assist in the creation, maintenance, and redesign of business processes, including conducting reviews, audits, and implementing changes.

Leading or contributing to the successful completion of assigned projects throughout the project delivery life cycle (PDLC) will be vital for the continuous improvement of departmental processes.

Documentation and Training

The analyst will author, revise, and maintain process documentation, which includes:

  • Requirements documentation
  • Development specifications
  • Workflow diagrams
  • Screenshots and wireframes
  • Timing and UML diagrams
  • Case studies
  • Test cases
  • End-user stories

Identifying performance metrics and analyzing data will ensure appropriate actions are taken before, during, and after project implementation.

The analyst will inform, guide, and author process practices, providing training and communication to partners within and outside of the VPRI.

Training Delivery

Ensuring that VPRI staff are adequately trained and informed about process changes and implementations is a key responsibility.

The analyst will design and deliver a comprehensive process improvement training program for staff, focusing on LEAN and Six Sigma tools and methodologies.

Qualifications:

A degree from a recognized university or a diploma (minimum 2 years) from a recognized college in fields such as arts, engineering, environment, health, mathematics, sciences, or a related discipline is required.

Business Analyst training is mandatory; Certified Business Analysis Professional (CBAP) or Lean Six Sigma Green Belt Certification is essential.

Project Management Institute (PMI-PBA) certifications are preferred.

Professional development training in change management (e.g., Prosci) is an asset.

5-7 years of progressive business analysis experience is required, with 2-3 years of experience in an academic or research environment preferred.

Experience in business process optimization, including significant exposure to reviewing processes and process mapping to identify inefficiencies, is necessary.

Extensive experience in requirements elicitation, preparation of functional design, configuration documents, and user training guides is essential.

A continuous improvement mindset, including participation in user groups and relevant professional development opportunities, is expected.

Ability to work in Agile, Waterfall, and hybrid delivery methods is required.

Advanced proficiency in various software applications, including Microsoft Word, Excel, PowerPoint, Project, and Visio, is essential.
