Mandate of the Manitoba Ombudsman
The Ombudsman is an independent officer of the Legislative Assembly with oversight responsibilities under The Ombudsman Act, The Freedom of Information and Protection of Privacy Act (FIPPA), The Personal Health Information Act (PHIA), and The Public Interest Disclosure (Whistleblower Protection) Act (PIDA). With offices in Winnipeg, Brandon, and Thompson, the Ombudsman investigates complaints from the public, or on his or her own initiative, and reviews administrative decision-making in support of principles of fairness, openness, and accountability; investigates complaints or, on his or her own initiative, investigates any decision, act or omission relating to a matter of administration by provincial government departments, agencies, boards, commissions, municipalities and other public bodies; makes public reports when deemed in the public interest; and provides informational and educational services to the public, public bodies, and the Legislative Assembly.
Conditions of Employment:
- Must be legally entitled to work in Canada.
- Satisfactory Criminal Record Check, Child Abuse Registry Check, and Adult Abuse Registry Check.
Qualifications:
Essential Criteria:
- Considerable experience in office administration.
- Experience communicating with the public by telephone and in person.
- Demonstrated skills in customer complaint management or client service capacity.
- Experience providing confidential administrative support including the preparation of correspondence.
- Experience working with MS Office (including Word, Excel, PowerPoint, and Outlook).
- Demonstrated organization and problem-solving skills.
- Excellent interpersonal skills to communicate effectively and courteously, both internally and externally.
- Excellent written communication skills.
- Ability to work both independently and co-operatively in a team environment.

Desired Criteria:
- Experience with Maximizer or other database systems.
- Knowledge of, or experience working with the Office of the Ombudsman, or other Independent Offices of Legislative Assembly.
- Ability to communicate in French or one of Manitoba's Indigenous languages.
Duties:
Reporting to the Manager of Administration, the Administrative Support Clerk is responsible for providing overall secretarial, administrative, and clerical support to the Office of the Manitoba Ombudsman in Winnipeg. The incumbent is the front-facing representative of the Office and will receive enquiries from the public relating to matters of administration and access and privacy. They will be responsible for identifying the complaint, explaining the role and function of the office, assessing jurisdiction, explaining avenues of review or appeal, and making appropriate referrals for non-jurisdictional concerns. The incumbent will also provide coverage for other members of the administration team and assist with routine office administration tasks, such as receiving deliveries, ordering supplies, and file archiving.
